Marta's Avoma renewal landed on a Monday. She manages six reps who sell commercial kitchen equipment, and she opened the usage report to see what she was paying for.

The video calls were there, neatly scored. But her reps had logged 118 customer meetings that month, and only 22 of them were on Zoom or Teams. What Avoma does, and what it costs

Avoma calls itself "an all-in-one AI to automate note-taking, scheduling, coaching, forecasting, and more." In practice it's four products sold as a base plan plus add-ons:

  • AI Meeting Assistant: records, transcribes, and summarizes meetings, and fills in CRM fields. Its homepage lists "Real-time Transcription in 75+ languages."
  • Scheduler and Lead Router: booking links and routing inbound leads to reps.
  • Conversation Intelligence: call scoring, coaching, and talk-pattern analysis.
  • Revenue Intelligence: forecasting, pipeline management, and win-loss analysis.

On Avoma's pricing page (checked October 3, 2026), Startup costs $19 per recorder seat a month billed annually, or $29 monthly, for up to 25 paid seats. Organization is $24 annually or $39 monthly, and Enterprise is $39 with a 10-seat minimum.

The add-ons carry their own prices. Conversation Intelligence and Revenue Intelligence are each $29 a seat a month billed annually ($35 monthly), and Lead Router is $19 ($25 monthly). So a manager who wants coaching pays $48 a seat a month on Startup, not $19.

Avoma deserves credit for two things. Viewer seats are "always free," so managers can read notes without a paid seat. And there's a 14-day trial of Organization with every add-on on.

In-person meetings are the weak spot. Avoma's mobile app can record them, but its help center says in-person meetings "don't provide separate audio channels for each participant," and that audio from people "farther from the microphone may not be captured clearly."

Most teams don't need a like-for-like swap. They need to replace the one or two modules they actually use. Check last month's usage, then find your row:

3. Fathom: a strong free plan with sales features on Business

Fathom's bot records Zoom, Meet, and Teams calls, and its iOS app now captures "in-person meetings or calls without your laptop nearby." Its site doesn't list an Android app, and its help center lists transcripts in 38 languages.

4. Otter.ai: a familiar notetaker with a Business tier

Otter's AI Meeting Agent joins Zoom, Microsoft Teams, and Google Meet, and its mobile apps record in person on iPhone and Android.

5. Gong: the step up, not the step down

If you need more analytics than Avoma, not less, Gong is the usual destination. Its pricing page publishes no figures: "Licenses are priced per user," plus "a platform fee based on the number of users supported."

Best for: larger revenue teams that want deeper forecasting and deal boards than Avoma offers.

6. Granola: bot-free notes from your own device

Granola captures device audio instead of sending a bot, on desktop, iPhone, and Android.

Prices (checked October 3, 2026): on Granola pricing, Basic is free with a 30-day meeting history limit, Business is $14 per user a month, and Enterprise $35. It has no coaching or conversation intelligence tier, so it isn't in the cost worksheet below.

Best for: individuals who want quiet notes on any call platform and don't need team coaching.

Here's what a six-rep team pays in year one on each tool's sales or coaching tier, billed annually. Every price is the published per-seat rate on October 3, 2026, multiplied by six seats and 12 months.

Three things stand out.

First, the add-on is the bill. Conversation Intelligence more than doubles Avoma's Startup seat, so the real question is whether your managers coach from recordings every week. If they don't, you're paying $29 a seat for a feature nobody opens.

Second, Avoma's free viewer seats are a real saving if many people only read notes. Count readers as well as recorders.

Third, price follows use. A tool that hears 100 of your 118 meetings beats one that hears 22. Prices change often, so re-check each page before you buy.

How to choose an Avoma alternative

Start from where your meetings happen, not from a feature list.
