• Audio Files: Audio files may be processed either locally on your device or securely on our servers, depending on your chosen settings and available device capabilities. Online processing is end-to-end encrypted and used only to deliver faster or more accurate transcriptions.
• Transcriptions: Your transcriptions are stored securely on Amazon Web Services (AWS) infrastructure using server-side encryption with Amazon S3 managed keys (SSE-S3). This enables you to access your transcriptions across multiple devices.
• AI Processing: AI features such as summaries, action items, and chat are processed through OpenAI's API. Only transcript text data is shared (no IP addresses or account information), and this data is not used to train AI models.
• No Secondary Usage: We do not analyze, sell, or train on your data. Your audio files and transcriptions are used solely for the purpose of providing the requested services.

Data Security and Encryption

We employ industry-standard security measures to safeguard your data:

• Encryption in Transit: All data transmitted between your devices and our servers is encrypted using TLS/SSL protocols, ensuring that any intercepted data remains unreadable.
• Encryption at Rest: Your transcriptions are stored using server-side encryption with Amazon S3 managed keys (SSE-S3), protecting your data from unauthorized access by local engineers or physical intruders.
• Secure Infrastructure: Data is stored in data centers provided by Amazon Web Services (AWS), which is ISO/IEC 27001 certified—the world's recognized standard for information security management systems (ISMS).
• Access Controls: Strict access controls ensure that only authorized personnel and systems can access data, and only when absolutely necessary for service operations.

Parrot Notes is fully compliant with the General Data Protection Regulation (GDPR), ensuring that your rights as a user are upheld. These include:

• Right to Access: You can access your data at any time.
• Right to Rectification: You can update or correct inaccuracies in your personal data.
• Right to Erasure: You can request the deletion of your data when it is no longer necessary for the purposes for which it was collected.

Data Retention and Deletion Policy

We prioritize privacy and ensure that your data is retained only as long as necessary to provide our services:

• Transcriptions: Transcriptions are retained as long as your account remains active. You can delete individual transcriptions or all transcriptions at any time through the app's settings.
• AI Chat Data: Chat conversations and AI-generated responses are not stored on our servers. Data shared with OpenAI for processing is used only to provide the requested service and is not retained by OpenAI for any other purposes.
• Account Deletion: Upon account deletion, all associated data including transcriptions and account information is permanently deleted within 30 days. Deleted data cannot be recovered, and no copies or backups are retained.
• Self-Service Deletion: You can delete your account at any time by navigating to Settings → Account Details → Delete Account in the app, or by contacting us at support@parrotnotes.app.

Handling Compelled Disclosure

Parrot Notes may disclose user data only under the following conditions:

• Legal Requirements: In response to valid subpoenas, court orders, or similar legal requests.
• Protection of Rights: When necessary to protect our property, rights, or the safety of others.

Whenever feasible, we strive to inform users about disclosures, except in cases where prohibited by law or in urgent circumstances.

Third-Party Service Security

Parrot Notes uses carefully selected third-party services to provide transcription and AI features:

• Deepgram: Used for accurate speech-to-text transcription. Audio files are processed securely and are not retained beyond the necessary processing period.
• OpenAI: Powers AI features including transcription, summaries, action items, and chat. According to our agreement with OpenAI, they access data solely to provide the requested service and cannot store or use the data for any other purposes, including model training.
• Amazon Web Services (AWS): Provides secure cloud infrastructure for storing transcriptions with ISO/IEC 27001 certification and industry-leading security standards.

Only the minimum necessary data is shared with these services. No IP addresses or account information is shared with transcription or AI processing services.
