How to Record a Webex Meeting

Dana keeps the minutes for her company's Thursday managers' meeting, and last week she took the audio on her desk phone while the laptop handled the slides. She hit Record, took her notes, and opened the file afterwards. The video was all there. The sound wasn't. (Dana is a composite, an illustration rather than a real person.)

Nothing was broken. Webex only captures sound in a computer recording when you use Computer audio. Learning how to record a Webex meeting is mostly about rules like that one, and three things decide them: your role in the meeting, your device, and your plan.

This guide starts with a table that matches those three to the recording that will work. Then you'll get the steps for each route, fixes for a missing Record button, and two short scripts to copy. Every Webex fact comes from Webex's help center and pricing page, as of November 2026. We didn't run a hands-on test, so the menu names are Webex's own.

One disclosure: ParrotNotes publishes this blog. Our app doesn't join or record Webex calls. It records meetings in a room on your phone, so if most of your meetings happen around a table, you can try ParrotNotes free for those.

Built from Webex's articles on recording a meeting, recording in the cloud, and recording on your computer, read November 4, 2026.

Webex's plan names don't match across its own pages

Webex's recording article lists Free, Starter, Plus, Business, and Enterprise. Its pricing page sells something else, as of November 2026:

PlanPriceMeeting limitRecording
Free$0Up to 40 minutesLocal storage
Meet$12 per license a month ($144 a year)24 hoursLocal and 10 GB cloud
Suite (Meet + Call)$22.50 per license a month ($270 a year)24 hoursLocal and 10 GB cloud
EnterpriseQuote24 hoursLocal and unlimited cloud

The rule holds across both pages: Free records locally, and paid plans add the cloud. On Enterprise, the recording article says your Webex site administrator sets both options. If your work account has its own Webex site, that administrator's settings win over anything here.

How to record a Webex meeting on the free plan

The free route is computer recording, which older guides call local recording. It's only available from the desktop app. Here's the order, based on Webex's steps:

  1. Choose Computer audio as your audio option, or the file will have no sound.
  2. Click Record and select the computer option.
  3. Click Record again to start.
  4. Pause or stop from the same button. Pause and Resume keep it all in one file.

The file saves when the meeting ends. It's an MP4, and it goes to your Documents folder on Windows and your Home folder on a Mac. On the Webex Suite meeting platform, you can pick another folder. Pick a local one, since Webex says recordings can't play back from a network location.

What a computer recording leaves out

You'll get participant audio, video, and shared content. You won't get the chat or participants panels, transcripts, or files shared through Share File. Webex also says recording transcripts aren't available on the Free plan.

Keep the clock in mind too. Free meetings run up to 40 minutes, so a longer meeting needs a paid host.

Record a Webex meeting to the cloud on a paid plan

Cloud recording needs a paid account, and it's the easier route when you move between devices. Webex's steps from the desktop app:

  1. Click Record and select the cloud option. If you can't see Record, look under More.
  2. Click Record again to confirm.
  3. Pause or stop by clicking Record again.

Webex can take up to 24 hours to process it, depending on file size and bandwidth. The host gets an email when it's ready. To find it later, sign in to User Hub at user.webex.com and select Recordings.

Meet and Suite include 10 GB of cloud recording. If your site runs out of space, recording can stop working, so download older files to back them up, then delete them in User Hub.

If you always forget the button, Webex lets you record automatically. When you schedule from the Webex App's meetings calendar or from a space, choose to start recording when the meeting starts.

Record a Webex meeting on your phone

You can, if you're on a paid plan and you're the host or cohost. Webex gives its phone steps in its cloud recording article, and Free users can only record from the desktop app.

  1. Start or join the meeting in the Webex mobile app.
  2. Tap More.
  3. Under General, tap Record.
  4. To pause or stop, go back to More, then General.

The file lands in User Hub, not your camera roll. One more trap: if you start a meeting by phone, meaning you dial in rather than use the app, you can't record it at all.

Can you record a Webex meeting if you're not the host?

Not with Webex's own tools. Attendees can't record, and Webex tells them to ask the host for the recording.

Cohosts are a bit murkier, because Webex's articles differ. Its cloud article says the host or cohost can record. Its main article says a cohost can record when the host isn't in the meeting, and that the host takes the ability back on joining. If a cohost does record, the host still receives and owns the file.

Marcus, an assistant, supports a director who hosts a Monday review. When she runs late, Marcus starts the recording as cohost, and when she joins, the Record button leaves his screen. The file goes to her list either way, so she shares the link with him later. (Marcus is a composite too.)

Here's a message you can send the host beforehand:

Hi [name], could you record today's Webex meeting? I'm taking the minutes and I'd like it for accuracy. I won't share it outside [team or company]. If you can send me the link and any password afterwards, that's all I need. Thanks.

Some guides answer this with a third-party bot or a screen recorder. Those can sit outside the host's control, so if the host says no, respect that and take notes by hand. Our guide on how to take meeting minutes covers that.

Why the Record button is missing

Tell people before you press Record

Webex states the rule plainly: "Before a meeting can be recorded, summarized, or transcribed, everyone participating needs to give their consent."

Webex helps with notice. Its AI summaries article says participants get an audio and visual notification when a meeting is being recorded and summarized. An administrator can also require explicit consent, but that's off by default. When it's on, people see a pop-up, and anyone who declines goes into read-only mode.

That setting doesn't cover people joining by phone line, room device, or an older app.

So say it out loud too:

Before we start, I'm recording this meeting so I can write accurate minutes. I'll only share it with [who]. If you'd rather I didn't record, tell me now or message me, and I won't.

US federal law (18 U.S.C. § 2511(2)(d)) allows recording when you're "a party to the communication," but some states require everyone's consent, and video calls cross state and country lines. Our guide to one-party consent states covers the state rules. This isn't legal advice.

What to do with the recording

Share it. In User Hub, go to Recordings and select Share. Add email addresses, and add a password if you want one. With the public link on, anyone who has the link can watch without signing in, so turn it off for anything sensitive.

Download it. In Recordings, click the download icon for an MP4.

Check for a summary. On the Webex Suite meeting platform, a host's cloud recording can come with an AI summary of chapters, notes, and action items, if your administrator has enabled it.

Turn it into text. No transcript, because you recorded on Free? The video to text converter accepts MP4 files up to 10 minutes. Then open your meeting minutes template and fill it from the transcript while the meeting is fresh.

On other platforms, the rules change: see how to record a Zoom meeting, how to record a Teams meeting, and how to record a Google Meet.

When there's no Webex call to record

Priya runs a weekly staff meeting in a conference room, and half the people never open a laptop. So Webex has nothing to capture. She puts her phone in the middle of the table, tells the room she's recording, and taps record. (Priya is also a composite.) Our guide on how to record a meeting on iPhone covers where to put the phone.

ParrotNotes turns that kind of recording into a transcript, an AI summary, action items, and a drafted follow-up email. It doesn't join or record Webex calls, so use Webex's own recording there. You can import a Webex file you've already saved: Free includes 3 audio or video imports a month, and Pro has no monthly cap.

Free also gives you 100 minutes of recording a month, up to 30 minutes each. Pro is $19.99 a month, or $14.99 a month billed annually, for 3,000 minutes and recordings up to 3 hours (per parrotnotes.app/pricing, November 2026).

Got a meeting in a room this week? Download ParrotNotes free and record it with everyone's OK.

The short version

How to record a Webex meeting depends on who you are in the call, what you're on, and what you pay:

  • Free plan: desktop app only, saved to your computer, with meetings up to 40 minutes.
  • Paid plan: computer or cloud, and cloud is the route Webex documents for phones.
  • Not the host: ask the host to record and send you the link.
  • Sound: choose Computer audio, or a computer recording stays silent.
  • Everyone: say you're recording, whatever Webex shows on screen.

Before your next meeting, find your row in the table, then run a 30-second test recording and play it back. That's far better than finding out afterwards, as Dana did.

Frequently Asked Questions

Can you record a Webex meeting for free?

Yes. A free Webex account can record to your computer from the desktop app. Free meetings run up to 40 minutes. Cloud recording and recording transcripts need a paid plan, as of November 2026.

Can a participant record a Webex meeting?

No. Only the host or a cohost can record, and attendees can't start a recording themselves. Webex tells attendees to ask the host, who can share a link to the recording and any password.

How do I record a Webex meeting on my phone?

On a paid plan, as host or cohost, open the Webex mobile app, tap More, then tap Record under General. Webex covers these steps in its cloud recording article, so look for the file in User Hub. Free users can only record from the desktop app.

Where do Webex recordings go?

Cloud recordings go to User Hub, under Recordings. Computer recordings go to your Documents folder on Windows and your Home folder on a Mac by default. Both are MP4 files.

How long does a Webex recording take to process?

Webex says a cloud recording can take up to 24 hours, depending on file size and bandwidth. The host gets an email when it's ready. A computer recording saves when the meeting ends.

Why does my Webex recording have no sound?

Computer recordings only include audio when you choose Computer audio. If you joined with Call me or Call in, Webex doesn't record the sound. Switch to Computer audio before you press Record next time.

Does Webex notify people when you record?

Webex's AI summaries article says participants get an audio and visual notification when a meeting is being recorded and summarized. Administrators can also require a consent pop-up, which is off by default. Tell people out loud as well, since Webex says everyone needs to consent.
