Priya's product team lives in Notion. When a colleague typed /meet on a page and a transcript appeared, she cancelled her separate note taker that afternoon. Marcus sells commercial flooring. His meetings happen on job sites, half of them in Spanish, and his laptop stays in the truck. (Both are composites, not real people.)
The same feature is a clear yes for one of them and a poor fit for the other.
This guide explains how Notion AI Meeting Notes works, what it costs, and where Notion's own documentation draws the lines. It is built from Notion's help center, pricing page, and product page as they read on October 12, 2026, not from a hands-on test, and every claim links to its source. It ends with a 10-question fit test and an honest look at when to use something else.
One disclosure first: ParrotNotes publishes this blog, and ParrotNotes is our app. It appears near the end, for readers like Marcus whose meetings happen across a table. If that's you, try ParrotNotes free and come back for the Notion facts.
Notion AI Meeting Notes in short
Notion AI Meeting Notes suits you if your team already works in Notion, you're on the Business or Enterprise plan (or willing to move to it), most of your meetings are video calls taken from a desktop, and you want transcripts and summaries to land on the same page as the project.
Look elsewhere if your meetings mostly happen in a room or on a phone, you need speaker labels in a language other than English, your conversations switch languages, or you want a note taker that works without a Notion workspace around it.
What Notion AI Meeting Notes does
Notion AI Meeting Notes is a block you add to any Notion page. Once you start it, Notion transcribes the conversation and, when you stop, writes a summary on the same page. TechCrunch covered the launch on May 13, 2025, noting that the note-taking "closely resembles Granola's" and that it shipped first in the Mac app, version 4.7.0 (TechCrunch).
According to Notion's help center article, the summary includes:
- Key points and action items, in a format you choose: Auto, sales call, standup, or team meeting. You can write custom instructions and set one as your default.
- Participants in the call.
- Citations that link each line of the summary to the transcript, shown on hover or click.
- Your own notes. Anything you type during the meeting is combined with the transcript, and @ mentions become next steps (Notion guide).
Because the result is a normal Notion block, it inherits the page's permissions and shows up when you ask Notion AI about past meetings. That is the whole pitch: the notes live where the work lives.
How it captures a meeting: desktop, browser, mobile
Most write-ups skip this part, and it decides whether the other people in your meeting get transcribed at all. Notion's help center describes three capture modes.
| Desktop app (Mac or Windows) | Browser | Mobile app | |
|---|---|---|---|
| What is recorded | Your microphone and your computer's system audio | Your microphone only; "System audio won't be captured" | The phone's microphone only |
| Best for | Video calls: "all sides of a call" are transcribed | In-person conversations | In-person meetings, or a call playing through another device's speakers |
| What it misses | Nothing on a call, with screen and system audio permissions | Remote participants when you wear headphones | Remote participants when you wear headphones |
| Requirements | App version 4.7.0 or later; macOS 13 or later on Mac | Any supported browser | An eligible subscription that includes Notion AI |

One further line from the same page matters for anyone who travels: "AI Meeting Notes is not currently supported while offline."
The desktop app is the only mode that hears both sides of a video call. That is also why Notion's pricing page can describe the feature as "no bot needed": the desktop app listens to your computer instead of joining the call as a participant. Our guide to AI meeting notes without a bot explains how that approach differs from the bots used by Otter, Fireflies, and Read.
How to start a meeting note in Notion
- Open the page where you want the notes, in the desktop app. On the web, Notion prompts you to open the desktop app.
- Type
/meet, or pick the meeting from the Upcoming events tile on Home. - Select Start transcribing once everyone has consented. Notion offers a text message for the chat, a voice message played through your speakers, or an automatic consent message a workspace owner can enforce.
- Type your own notes while the transcript builds.
- Select Stop. The summary generates automatically once there are at least 300 transcribed characters, about a minute of speech.
- After a pause, use the slider icon and Resume transcription.
You can also upload a recording in AAC, M4A, MP3, or WAV. "MOV, MP4, and Loom files are not currently supported for upload."
Priya's setup, straight from Notion's guide: an AI Meeting Notes block in her meetings database template, a default meetings location in Notion Calendar, and "Join and transcribe" on each event. Every one-on-one page now starts with a transcript block.
Which plan you need and what it costs
Here is the pricing page as it read on October 12, 2026.
| Plan | Price (monthly billing, per seat) | AI Meeting Notes |
|---|---|---|
| Free | $0 | "Limited Trial" |
| Plus | $10 a month | "Limited Trial" |
| Business | $20 a month ("Recommended") | Included, with Notion Agent and Enterprise Search (beta) |
| Enterprise | Custom | Included, plus zero data retention with LLM providers |
Source: notion.com/pricing, read on 2026-10-12. The page says "Save up to 20% with yearly" but shows no separate annual prices. The size of the "Limited Trial" on Free and Plus is not stated on the page.
The help center is more direct than the pricing table: "You must be on Notion's Business or Enterprise Plan to use AI Meeting Notes." For a team of five on Plus, that is a move from $50 to $100 a month, and the extra $50 buys Notion AI across the workspace, with meeting notes as one part of it.
Only need meeting notes, not a workspace? A dedicated app is cheaper. ParrotNotes starts free with 100 minutes a month; the full comparison is further down.
Where the help center draws the lines
These are the limits Notion documents itself, quoted so you can check them.
16 languages
Transcription and summaries are supported in English, Chinese, Spanish, French, German, Japanese, Korean, Portuguese, Russian, Thai, Vietnamese, Danish, Finnish, Norwegian, Dutch, and Swedish. The page does not say what happens when a meeting moves between two languages.
Speaker labels are English only, and best on desktop one-on-ones
Speaker labels are "currently available in English only." They work best in one-on-one virtual meetings on the desktop app, and Google Meet users can install a Notion add-on (desktop only) for labels in group calls. A conversation recorded on a phone in a room gets no such help.
10 hours a day, and nothing offline
"AI Meeting Notes has a daily usage limit of 10 hours per user." Few people hit that. The offline limit bites more often: no connection, no transcription.
Marcus runs into three of these on an ordinary Tuesday: phone-only capture with no speaker labels, a Spanish-and-English conversation with no documented path, and a job-site trailer with no signal.
Privacy and consent
Notion's help center is unusually specific here, which counts in its favour.
- Who processes the audio: the listed sub-processors are OpenAI, Anthropic, Fireworks, Baseten, X.AI, and AssemblyAI, and "Sub-processors do not store audio."
- How long audio stays: a temporary local copy is deleted "after successful processing or within 24 hours, whichever comes first"; if processing fails, audio is kept for up to three days.
- Keeping recordings on purpose: local audio storage is "turned off by default for all plans." When turned on, the 10 most recent recordings stay on the recorder's own device.
- Deleting transcripts: anyone can delete a transcript from the block's menu; Enterprise owners can schedule automatic deletion.
- Security: the product page lists SOC 2 Type 2, "No training on your data," and "Configurable transcript retention" (Notion product page).
Consent is on you. Notion recommends getting it from everyone before you press Start transcribing. That rule applies to every recording tool, ParrotNotes included. Recording laws differ by state and country; our overview of one-party consent states covers the US basics. This is not legal advice.
What the product page says vs what the help center says
Notion's marketing page and its help center describe the same feature with different levels of precision. Both were read on October 12, 2026; the help center is the more careful of the two.
| Product page says | Help center says | Where to check |
|---|---|---|
| "Identifies speakers" | Speaker labels are "currently available in English only," and work best in one-on-one virtual meetings on desktop | Help center |
| "Supports every video tool" | True in the sense that the desktop app records system audio from any app; the browser and mobile modes record the microphone only | Help center, capture section |
| "Works everywhere you do" | "Not currently supported while offline"; the web version prompts you to open the desktop app | Help center |
| "Try for free" | Free and Plus show a "Limited Trial"; full use needs Business or Enterprise | Pricing |
Where Notion wins
- If your team already lives in Notion, nothing else puts the notes closer to the work. The transcript sits on the project page and feeds Notion AI's answers about past meetings. No export, no second app to search.
- The desktop app hears both sides of a video call without a bot. No participant sees a third account join.
- Summaries are cited. Every claim in the summary links back to the transcript line it came from, which makes checking a decision fast.
- Privacy documentation is clear. Named sub-processors, stated deletion windows, and zero LLM retention on Enterprise.
- The price is bundled. If you were going to pay for Business anyway, meeting notes cost nothing extra.
For Priya, that list is close to perfect. If your week looks like hers, Notion AI Meeting Notes is a strong answer.
The fit test: 10 questions
Answer each question for last week. The Notion page that decides it is in brackets.
Part A: does the core product fit?
- Does your team already keep projects, docs, and meeting pages in Notion? (The feature only exists inside a Notion page.)
- Are you on Business or Enterprise, or would you move to it for AI across the workspace? (Pricing page; help center plan requirement.)
- Were most of last week's meetings video calls you took from a Mac or Windows desktop? (Only the desktop app captures system audio.)
Part B: do the lines cut across your week?
- Did a third or more of your conversations happen in a room, a vehicle, or on a site? (Browser and mobile modes record the microphone only, with no speaker labels.)
- Did any meeting happen in a language outside Notion's 16, or switch between two languages? (Supported languages.)
- Do you need speaker labels in a language other than English? (Speaker labels are English only.)
- Did you record anywhere without a reliable connection? (Not supported offline.)
Part C: the practical details
- Do you record calls to video and want to upload them? (MP4, MOV, and Loom uploads are not supported.)
- Do you need the audio kept after processing? (Local storage is off by default and holds 10 recordings.)
- Do you need meeting notes without a workspace around them, for one person or a small field team? (Pricing: the feature comes with Business seats.)
How to read it. Three yeses in Part A and none in Part B: Notion AI Meeting Notes fits. One yes in Part B: run the limited trial on exactly that situation before upgrading. Two or more in Part B: the feature is built around a different week from yours.
Priya scores three in Part A, none in Part B. Marcus scores one in Part A and three in Part B.
When to use something else: meetings that happen in a room
If your test came out like Priya's, you have your answer. If it came out like Marcus's, here is the app we build, with facts from parrotnotes.app/pricing on October 12, 2026.
ParrotNotes is built around the phone in your pocket, with apps for iOS, Android, and macOS. There is no bot and no workspace to set up. Tap record, set the phone on the table with everyone's permission, and when you stop you get the transcript, an AI summary, action items, and a drafted follow-up email. Recording works offline; the transcript arrives as soon as you have a connection. To be clear about scope: ParrotNotes records the room and your side of a phone call. It does not capture Zoom, Google Meet, or Teams audio, so it is not a replacement for Notion's desktop capture on video calls.
| Notion AI Meeting Notes | ParrotNotes | |
|---|---|---|
| Built around | A Notion page; the desktop app for video calls | The phone, in any room, with a Mac app |
| Meeting bot | None; the desktop app records system audio | None, on any device |
| In-person meetings | Browser or mobile mode, microphone only, no speaker labels | Designed for it; speaker identification (Pro) |
| Transcription languages | 16; speaker labels in English only | 99+ with translation (Pro) |
| Meetings that switch languages | Not described in the help center | Multilingual transcription, with translation into the language you choose (Pro) |
| Offline | Not supported | Recording works offline; transcription when connected |
| Sales frameworks | A "sales call" summary format | BANT, MEDDIC, and SPIN frameworks on the recording |
| Price for one person | Business plan, $20 a seat a month | Free, or Pro at $19.99 a month ($14.99 billed annually) |
Notion facts from notion.com and its help center; ParrotNotes facts from parrotnotes.app/pricing. Checked 2026-10-12.
ParrotNotes Free costs $0 and gives you 100 minutes of recording a month (up to 30 minutes per recording), an AI summary on every recording, 5 AI-powered recordings a month with action items and the BANT, MEDDIC, and SPIN frameworks, and unlimited written notes. Pro is $19.99 a month, or $14.99 a month billed annually, with 3,000 minutes a month, up to 3 hours per recording, every AI feature, multilingual transcription with translation, speaker identification, and AI search across your notes.
Marcus's Tuesday on it: each job-site conversation recorded on the phone, with the contractor's OK; the Spanish-and-English walkthrough coming back as one English transcript, with speaker labels showing which partner asked for the upgraded underlayment; and a MEDDIC summary of the biggest bid waiting before the next stop. For more on meetings that cross languages, see our guide to bilingual meeting notes, and for the wider field, the best AI note taker for in-person meetings.
Want to run Marcus's test? Download ParrotNotes free, record tomorrow's first in-person meeting with everyone's permission, and read the summary before you start the engine.
The verdict on Notion AI Meeting Notes
Notion AI Meeting Notes is a well-built feature for teams that already run on Notion: bot-free capture of video calls from the desktop app, cited summaries, clear privacy documentation, and notes on the page where the project lives. Its own help center is just as clear about the edges: Business or Enterprise only, 16 languages, speaker labels in English only, microphone-only capture in the browser and on mobile, and nothing offline.
Run the 10-question test before you upgrade a workspace. Three yeses in Part A and none in Part B, and the feature is already waiting under /meet. Two or more in Part B, and your week happens in the room, not on the call. Our Read AI review and Otter.ai review use the same method.
If it's the room, download ParrotNotes free: 100 minutes a month with an AI summary on every recording, on the phone you already carry, in the languages your meetings happen in.
Frequently Asked Questions
Is Notion AI Meeting Notes free?
Not for regular use. On October 12, 2026, Notion's pricing page marked meeting notes as a "Limited Trial" on Free and Plus, and the help center says you must be on Business ($20 a seat a month, monthly billing) or Enterprise. The trial's size is not stated on the pricing page.
Does Notion AI Meeting Notes need a bot to join the meeting?
No. The desktop app records your microphone and your computer's system audio, so it hears both sides of a video call without joining as a participant. The browser and mobile versions record the microphone only, so remote participants are captured only if their audio plays through your speakers.
What languages does Notion AI Meeting Notes support?
Notion's help center lists 16 languages for transcription and summaries: English, Chinese, Spanish, French, German, Japanese, Korean, Portuguese, Russian, Thai, Vietnamese, Danish, Finnish, Norwegian, Dutch, and Swedish. Speaker labels are available in English only. Meetings that switch between languages are not described.
Can I use Notion AI Meeting Notes on my phone for in-person meetings?
Yes, on an eligible subscription that includes Notion AI. The mobile app records through the phone's microphone, which Notion says is best for in-person meetings. It needs a connection to transcribe, and speaker labels, which work best on desktop one-on-one calls, won't label a room full of people.
How do I start a meeting note in Notion?
In the desktop app, type /meet on any page or pick the meeting from the Upcoming events tile on Home, confirm everyone has consented, and select Start transcribing. Select Stop when the meeting ends and the summary generates automatically.
