Otter.ai Review: What It Does Well and Where It Stops

Rachel and Luis read the same Otter AI review on the same Monday. Rachel is a customer success manager who spends the day on Zoom and Google Meet: eight calls, all from a laptop, all in English. Luis sells building materials. His day is two showrooms, a contractor's yard, a lunch, and the drive between them, and half his customers would rather speak Spanish. (Both are composites, not real people.)

The review gives them one verdict. It can't be right for both.

Most Otter reviews tell you whether the reviewer liked the app. Few tell you how to work out whether it fits the way you meet, and several still repeat facts that Otter has since changed.

This review is built differently. It's based on Otter's pricing page and help centre as they read on October 10, 2026, not on a hands-on test, and every claim links to the page it came from. You'll get what Otter is, how it works, what it does well, where its own documentation draws the lines, what other reviews get wrong, and a 10-question fit test to run against last week's calendar.

Otter.ai review in short

Otter suits you if most of your meetings are scheduled Zoom, Google Meet, or Microsoft Teams calls in English (or one of Otter's other five languages), you'd like a notetaker that joins them from your calendar, and you want to ask questions across all your meetings afterwards.

Look elsewhere if most of your conversations happen in a room with no video link, you meet in languages Otter doesn't transcribe, or your meetings regularly run past 90 minutes and you don't want a Business plan.

What is Otter.ai?

Otter.ai is an AI meeting assistant. It transcribes conversations live, writes a summary when the meeting ends, pulls out action items, and lets you ask questions about what was said. On its homepage it calls the product an "AI Meeting Agent".

It reaches meetings three ways: a notetaker that joins video calls, a desktop app for Mac and Windows, and phone apps for iOS and Android, plus a Chrome extension. Its homepage says "Users report saving over four hours weekly by automating transcription and summaries", which is Otter's claim about its users, not an independent measurement.

How Otter.ai works

The notetaker joins your video calls

Otter Notetaker is the centre of the product. According to Otter's Notetaker overview, it "automatically joins your Zoom, Google Meet, and Microsoft Teams meetings to record, transcribe, and capture your meetings in real time".

You connect a Google or Microsoft calendar, and the notetaker joins events that carry a meeting link. It joins "as a participant", with a display name such as "[Your Name]'s Notetaker (Otter.ai)", so everyone on the call can see it. You can also send it to a meeting you can't attend. Otter's auto-join article lists five settings: all meetings with a video link, meetings you host, external meetings, internal meetings, or "Meetings I manually select". That last one matters if you don't want a bot arriving at every call.

The desktop app records without a bot

Many reviews describe Otter as bot-only. That's out of date. Otter's desktop app article lists "botless recording for meetings" among the Mac and Windows app's features, with screen and system-audio permission so you can wear headphones while it transcribes.

The phone app records the room

On iOS and Android, you tap the microphone and Otter records and transcribes live, as its recording guide describes. If the signal drops, Otter's offline article says the live transcript pauses but recording continues, and the audio is processed once you're back online.

What Otter does well

Here's where Otter earns its reputation, based on its own pages.

  • Live transcription with speaker learning. Transcripts build as people speak. Otter's speaker identification overview explains that tagging a speaker teaches Otter to recognise that voice next time, and workspace members share speaker profiles.
  • Hands-off video meetings. Once your calendar is connected, the notetaker turns up on its own. Paid plans can run notetakers in more than one meeting at once (two on Pro, three on Business).
  • AI Chat across everything. According to Otter's AI Chat overview, chat "works across all of your conversations in Otter, including meetings shared with you", during a live meeting and afterwards.
  • A free plan you can test properly. Basic gives you 300 transcription minutes a month, which is about five hours of meetings.
  • Integrations. Pro adds Salesforce, HubSpot, and Zapier (CRM sync is subject to user limits), and Otter offers an MCP server so Claude, ChatGPT, and other assistants can search your meetings.
  • Security paperwork. Otter's help centre says it is SOC 2 Type II certified, and Enterprise adds SSO and admin controls.

For Rachel, that list is close to perfect. Eight calendar calls a day, a notetaker that joins each one, and a chat she can ask "what did the Acme team say about renewal timing?" a week later. If your week looks like hers, Otter is a strong choice.

Where Otter stops, according to its own help centre

Every tool draws lines. These are the ones Otter's own pages draw, quoted so you can check them.

Six transcription languages

Otter's supported languages article says: "Otter currently only supports English, Spanish, French, German, Japanese, and Chinese (Simplified)". Asked about Portuguese, the answer is "No."

Translation exists as a chat request: "You can translate your conversations into other languages using Otter Chat." The transcript itself comes out in the language spoken. A meeting in Hindi, Arabic, Italian, or Portuguese isn't covered by any plan.

The notetaker needs a link, and everyone sees it

The notetaker joins calendar events with a Zoom, Meet, or Teams link. A conversation across a table has no link, so for those you're back to the phone or desktop app. The notetaker also appears in the participant list, which some clients notice and ask about.

Per-conversation caps

Each plan caps a single conversation: 30 minutes on Basic, 90 minutes on Pro, 4 hours on Business and Enterprise (otter.ai/pricing). On Basic, Otter's free-plan limits article says recording continues past 30 minutes, "but you will only be able to access up to 30-minutes of the transcription" until you upgrade.

The free plan keeps 25 conversations and three imports

Basic shows your "25 most recent" conversations; older ones are archived until you pay. You can import three audio or video files "per account (not per month)".

When minutes run out, recording stops

The same article is clear: "If you exceed the transcription limit, you will not be able to record or import recordings until your next monthly cycle." Minutes don't roll over, and "Deleted conversations will still count towards the transcription limit."

Sales features sit on Enterprise

Pro syncs notes to Salesforce or HubSpot for one user. Otter Sales Notetaker is listed on the Enterprise plan, which has no public price.

The newest chat isn't on the phone yet

Otter's AI Chat overview says AI Chat 2.0 is live on web and desktop, while "The mobile Otter app currently uses the previous version of AI Chat 1.0". If the phone is your main device, you're one version behind for now.

Luis hits four of these lines on a normal Tuesday: showroom meetings with no link, customers who switch between Spanish and English mid-sentence, a two-hour yard walk past Pro's 90-minute cap, and the newest chat living on a laptop he leaves in the car.

How to read it. Three yeses in Part A and none in Part B: Otter suits you, and Part C picks the plan (a yes on 10 is Enterprise; on 9, Business; on 8, Pro; otherwise Basic). One yes in Part B: try the free plan on that exact situation before you pay. Two or more in Part B: Otter is built around a different week from yours.
