How to Transcribe a Google Meet Call

Priya is an executive assistant at a consulting firm. A client call ended at 4:00, and by 4:05 she was searching her Drive for the transcript her boss had asked for. Nothing there. It took her an hour to work out why: the client had set up the meeting, so any file would be sitting in the client's Drive. (Priya is a composite, not a real person.)

Most people expect Meet to transcribe every call. It doesn't. Google Meet transcription is on certain paid plans only, someone has to start it during the call, and the file belongs to the meeting organizer.

This guide shows you how to transcribe a Google Meet call on any account: the fastest route for each plan, the exact steps, where the file lands, and what to do when there's no Transcribe button. Every Google fact comes from Google's help pages as they read on November 5, 2026. It isn't a hands-on test.

One disclosure: ParrotNotes publishes this blog and makes the free tools below. It doesn't join Meet calls or capture Meet audio, but it can turn a Meet recording file into text, and it records meetings in a room. For those, try ParrotNotes free.

Want the video instead of the words? See how to record a Google Meet. On Microsoft Teams? See Teams transcription.

Does your plan include Google Meet transcription?

The plan decides your route. We combined Google's Transcripts page and its premium features table into one picker. The last column is our suggestion.

Notice the rows with Record but no Transcripts. Those accounts get a video and no text, the gap most guides skip. Route 2 below is for them. Google also says transcripts are on by default for all Workspace editions, except Education with a student license.

How to turn on Google Meet transcription

Google's steps only cover starting a transcript during a meeting, with no way shown to transcribe a finished call from inside Meet. So decide before you start.

On a computer

  1. Join or start the meeting in Google Meet.
  2. At the bottom right, click Meeting tools, then Transcribe, then Start transcription.
  3. In the pop-up, click Start.

A Transcripts icon then shows at the top right for everyone. To stop, click Meeting tools > Transcribing > Stop transcription, then Stop. It also stops by itself when everyone leaves.

On Android

  1. Open the Meet app and tap Start or Join.
  2. At the bottom right, tap More, then Tools, then Transcribe.
  3. Tap Start.

To stop, tap More > Tools > Transcribing, then Stop.

On iPhone and iPad

You can't. Google says "You can only use the Transcripts feature on a computer, laptop, or Android device." Ask someone on a laptop to start it.

Start it automatically

When creating the meeting, click Video call options > Meeting records and select Transcribe the meeting. It won't begin until the host or a co-host joins on the web, and people who join see an on-screen warning.

Four rules worth knowing

  • Who can start it. With Host Management off, anyone from the host's domain. With it on, only the host and co-hosts. Guests from another company can't, unless the host makes them a co-host.
  • Languages. English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish. Speaking anything else? Use Route 2 or Route 3.
  • No pause. You can stop and start again, but each start creates a separate file.
  • Spoken words only. To keep the chat, Google says to record the meeting.

Where the Google Meet transcript goes

The transcript goes to the organizer's Google Drive, in a folder called Google Meet, with a sub-folder for each meeting. Recurring meetings share one sub-folder, and attendees with access get shortcuts in their own Google Meet folder, according to Google's July 2026 update. Transcripts from before that change now sit in Legacy Meet Recordings, inside the same folder.

Other ways to find it:

  • Email. A link goes to the host, any co-hosts, and whoever turned it on. Longer meetings take longer to process, so the email can lag.
  • Calendar. The transcript is attached to the event. Invitees in the host's organization can open it. With more than 200 invitees, only the host, co-hosts, and the person who started it can.
  • The organizer. Google only promises access to invitees in the host's organization, so guests should ask. That was Priya's fix: a one-line email to the client's assistant got her the link that evening.

The file is a Google Docs file. Google's admin page says it keeps track of "who said what" and "includes a list of attendees." Google doesn't document the line-by-line layout, so check a real file before you rely on it. You can download it as Word, PDF, or plain text from File > Download.

Google Meet transcription without the Transcribe button

No hidden setting adds this to a free account. Which option fits depends on whether you can get a recording.

Route 1: Ask a host on an eligible plan

If a colleague or the other company has Business Standard or above, ask them to create the meeting, start the transcript, and share the file from their Drive.

Route 2: Record, then transcribe the MP4

Tom is a consultant on Google One with 2 TB. He can record his client calls but gets no transcript. (Tom is also a composite.) Here's his 24-minute call:

  1. In Drive, open Google Meet, find the meeting's sub-folder, and download the MP4.
  2. Pull the sound out with the free video to audio converter, which runs in your browser.
  3. Our Audio to Text Converter takes files up to 10 minutes and 100 MB, so split longer calls with the MP3 splitter. Tom's call becomes 10, 10, and 4 minutes.
  4. Upload each part, sign in, and paste the three transcripts together in order.

A free account gets 3 files a month, which covers Tom's call exactly. The web tool doesn't add speaker labels or timestamps, so he adds names where they matter.

Short clip? The video to text converter takes the MP4 directly, up to 10 minutes. The converter handles 23 languages, so this route also helps when Meet's eight don't cover yours.

Route 3: Import the file into ParrotNotes

If you do this weekly, splitting gets old. The ParrotNotes app imports audio and video files and gives you a transcript and a summary, with 3 imports a month on the free plan.

Pro gives you 3,000 minutes a month and adds speaker identification and multilingual transcription in 99+ languages, for $19.99 a month, or $14.99 a month billed annually, as of November 2026 (pricing). Download ParrotNotes free and try it with one recording.

Route 4: Use a Chrome extension or a meeting bot

Third-party tools fill the gap, but they add another company to your meeting. Tactiq, a Chrome extension, lists 10 transcripts a month on its free plan as of November 2026. Bot-based note takers join as a visible participant instead.

Check that your company allows them and the other side agrees. Our guide to AI meeting notes without a bot compares the methods.

Route 5: Record the room

In a meeting room with remote people on a speaker, put a phone on the table and record that, with everyone's OK. It needs no Google plan and suits hybrid meetings. A phone only hears what its microphone hears, so it's weak for a call on headphones.

On some plans, Gemini can do this too. Google's August 2026 update says in-person Take notes for me produces notes and a "complete transcript" on Business Standard and Plus, Enterprise Standard and Plus, Frontline Plus, and personal Google AI Pro and Ultra.

What won't work: live captions

Live captions are available to all users, which is why people confuse them with a transcript. Google says they're "turned on only for you," and its pages describe no way to save them as a file on a free account. They help you follow the call, nothing more.

Transcripts, captions, or Gemini notes?

FeatureWhat you getBest for
Live captionsWords on your screen, during the callFollowing along
TranscriptsSpoken words in a Google DocExact wording, quotes
Take notes for meAI summary and next steps in a DocRecaps, action items

The last two can run together: notes get timestamps that jump to the transcript "only when both 'take notes for me' and transcriptions are enabled" (Workspace Updates). Our guide to Gemini meeting notes covers plans and limits.

Tell people before you transcribe

Meet shows the Transcripts icon to everyone, and admins can require explicit consent (off by default). Don't assume an extension or a phone gives the same notice. Say it out loud at the start:

"I'd like to get a written transcript of this call so my notes are accurate. Is everyone OK with that?"

Some US states need every person's agreement; our overview of one-party consent states covers the basics. This isn't legal advice.

Turn the transcript into something useful

A one-hour Google Meet transcription is long. Most readers need what was decided, who does what, and by when. Here's a made-up excerpt, layout simplified:

Dana: So we go with the April start?

Marc: Yes, if legal signs off by the 14th. I'll chase them.

And the line it becomes in your minutes:

Decision: April start, pending legal. Owner: Marc. Due: the 14th.

A five-minute pass gets you there: fix names and company terms, mark every decision, pull out each task with its owner and date, and delete the small talk. Then paste the clean text into the free meeting minutes generator for a first draft, or fill in a meeting minutes template yourself. On Zoom too? See how to transcribe a Zoom recording.

The short version

Google Meet transcription needs the right plan, a computer or Android device, and someone who starts it during the call. The file goes to the organizer's Drive. If your plan records but doesn't transcribe, transcribe the MP4. If it does neither, ask a paid host or record the room.

Priya now asks one question when a call goes on the calendar: "Whose meeting is it?" That tells her where the file will be.

Frequently Asked Questions

Is Google Meet transcription free?

Not on a free Gmail account. Google lists Transcripts for Business Standard and Plus, Enterprise Starter, Standard and Plus, Education Plus, the Teaching and Learning add-on, and Workspace Individual. On a free account, your options are asking a paid host to transcribe the call, or recording the room and transcribing that.

Where do Google Meet transcripts go?

To the organizer's Google Drive, in the Google Meet folder, in a sub-folder for that meeting. The host, co-hosts, and the person who started it get an email link, and the file is attached to the Calendar event.

Can I get a transcript after the Google Meet has ended?

Not from Meet's Transcripts feature, which has to be started during the call. If the meeting was recorded, download the MP4 from Drive and transcribe that with another tool.

Can you transcribe Google Meet on an iPhone?

No. Google says Transcripts work only on a computer, laptop, or Android device. Someone on one of those can start it for the whole call.

What languages does Google Meet transcription support?

Eight: English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish. Live captions cover far more languages, but they're on-screen only.

Does everyone know when a Google Meet is being transcribed?

With Meet's own feature, a Transcripts icon shows for everyone in the meeting. Third-party tools may not show the same notice, so tell people yourself.

Why can't I see the Transcribe option in Google Meet?

The usual reasons are a plan without Transcripts, using an iPhone or iPad, Host Management being on when you aren't a host, or being a guest from outside the host's domain.
