Hannah and Diego search for a Fireflies AI review on the same Monday. Hannah runs customer success for a software company: seven video calls a day, all from a laptop, all in English. Diego sells commercial kitchen equipment. His day is three restaurant visits, a distributor's warehouse, and the drive between them, and half his buyers prefer to talk in Spanish. (Both are composites, not real people.)
A review that ends with "four stars, recommended" can't be right for both of them.
So this review doesn't score Fireflies. It shows how Fireflies works, from its own pricing page and help center as they read on October 19, 2026, and ends with a 10-question fit test for your own week. It isn't a hands-on test; every claim links to the Fireflies page it came from.
One disclosure first. ParrotNotes publishes this blog, and ParrotNotes is our app. It appears once, near the end, for readers like Diego whose meetings happen across a table. If that's you, you can try ParrotNotes free and come back for the Fireflies facts.
Fireflies AI review in short
Fireflies suits you if most of your meetings are Zoom, Google Meet, or Microsoft Teams calls, you're happy for a visible notetaker to join them, and you want the notes pushed into a CRM, Slack, or a project tool without copying anything.
Look elsewhere if most of your conversations happen in a room with no meeting link, you need mixed-language calls without paying for Business, or your meetings run past two hours and you don't want to upgrade for that alone.
What is Fireflies.ai?
Fireflies.ai is an AI meeting assistant. It records and transcribes meetings, writes a summary with action items, and lets you ask questions about what was said through its chatbot, AskFred. Its homepage calls it "The #1 AI Assistant For Your Meetings" and says it's "used across 1 million+ companies".
The homepage also says "95% Accurate". That's Fireflies' own figure, not an independent test, and this review doesn't measure accuracy.
The product has grown past transcripts. The homepage also lists Live Assist (real-time suggestions during a meeting), "200+ AI Skills", and Voice Agents.
How Fireflies captures a meeting: four ways
Fireflies is known for its bot, but its help center describes four ways to capture a meeting, and each one gives something up.
| Capture mode | What it records | What it gives up | Source |
|---|---|---|---|
| Notetaker bot | Zoom, Google Meet, and Teams calls from your calendar, plus video (720p on Pro and Business) | A visible participant named "Fireflies.ai Notetaker" that can't be hidden | Joining FAQ |
| Desktop app (Mac, Windows) | Any call through your computer's system audio, no bot | No saved audio or video; speakers show as "Speaker 1 / Speaker 2"; Sales Assist needs the bot | Desktop app article |
| Chrome extension | Google Meet calls, no bot | Google Meet only | Pricing table |
| Mobile app (iOS, Android) | In-person meetings recorded on the phone, plus file uploads | No video; you start each recording by hand | Mobile app article |
All from Fireflies' pages, read October 19, 2026.
How the notetaker bot behaves
According to Fireflies' joining FAQ, the bot tries to join "exactly at the same time your meeting starts". If there's a waiting room, you or another host must admit it. It waits up to 10 minutes on Google Meet and 15 on other platforms, then leaves.
It always appears as "Fireflies.ai Notetaker". Asked whether it can be hidden, the FAQ answers: "No. Fireflies is always visible in the participant list to ensure compliance." A host can remove it mid-call, and you keep notes for the part it recorded. Pro and Business users can buy an add-on to rename it.
You turn on auto-join from the dashboard, and "Bar Rules" stop it joining meetings by title or keyword. That matters if you don't want a bot arriving at a sensitive call.
The desktop app is the quiet option
The desktop app records "using your computer's system audio", with no notetaker in the call, on Meet, Zoom, Teams, WhatsApp, FaceTime, and more. The trade-off: it "does not save audio or video files", so you get the transcript and summary but nothing to replay.
Fireflies AI features, day to day
Here's what you use after the meeting ends, and which plan unlocks it, from the comparison table on fireflies.ai/pricing.
- Summaries and action items. "Limited" on Free, unlimited on every paid plan
- AskFred. The meeting chatbot answers questions about a meeting. Limited on Free, full on Pro and up
- Search. Search within a meeting and global search across meetings on every plan; "Smart search" from Pro
- Conversation analytics. Sentiment analysis, question detection, speaker talk-time, and topic trackers from Pro; conversation intelligence and team insights for admins from Business
- Downloads. Transcripts and recordings can be downloaded from Pro
AI Skills, Live Assist, and the credit meter
The newer tools run on AI credits. Fireflies' AI credits article says credits pay for AI Skills, Sales Assist, Voice Agents, Autofill CRM, and the Personal Assistant's daily digest and meeting prep. Transcription, notes, and recap emails are covered by your plan.
Each plan includes a small one-time pool: 20 credits on Free and Pro, 30 on Business, 50 on Enterprise. The pool is shared: "everyone in your workspace draws from the same balance." Credits are charged per query, and the cost varies with complexity.
Integrations and apps
Fireflies' integrations page promises "100+ Apps". The ones a sales or ops team will look for first:
- CRM: HubSpot, Salesforce, folk, Odoo, Intercom, monday CRM
- Dialers: Aircall, RingCentral, Zoom Phone, OpenPhone
- Video: Zoom, Google Meet, Microsoft Teams, GoToMeeting, Webex, Dialpad
- Everything else: Slack, Dropbox, OneDrive, and project tools
One line on the pricing table matters here: integrations are "All" on Pro and up, and not included on Free. If CRM sync is why you're looking at Fireflies, budget for at least Pro.
Fireflies pricing in one table
Our Fireflies AI pricing guide covers every plan, the storage meter, and a year-one cost for a team of five. Here's the short version, unchanged from that guide's check.
| Plan | Monthly | Billed annually (per month) | Storage | Longest recording |
|---|---|---|---|---|
| Free | $0 | $0 | 400 mins per team | 2 hours |
| Pro | $18 per seat | $10 per seat | 8,000 mins per seat | 2 hours |
| Business | $29 per seat | $19 per seat | Unlimited | 3 hours |
| Enterprise | Annual only | $39 per seat | Unlimited | 4 hours |

Every teammate you add to the workspace counts as a seat, per the pricing FAQ. Recap links can be shared with people outside the team for free.
Where Fireflies draws the lines
These come from Fireflies' own pages. Each one can decide whether the tool fits.
English first, and mixed languages need Business
The pricing FAQ says: "Currently English is the primarily language that is supported", with Spanish, French, Portuguese, Italian, and 100+ others in beta. The supported languages article lists 115.
Calls that switch language are a separate feature. Fireflies' Multi-Language Mode article puts it on Business and Enterprise only, labels it beta, and covers 60+ languages. Without it, standard auto-detect "identifies and transcribes only the dominant language". The summary is written in the dominant language either way.
There's no translation feature in the languages article. To get a meeting in another language, you "re-transcribe the meeting in the language you want".
Two hours per recording on Free and Pro
The recording limit is 2 hours on Free and Pro, 3 on Business, and 4 on Enterprise. A half-day workshop or a long quarterly review needs Business or a second recording.
Storage is a total, not a monthly refill
Free has 400 minutes of storage for the whole team, and Pro has 8,000 minutes per seat. Our pricing guide explains how that total fills; Business removes the cap.
Credits can subscribe you to a top-up
This one is new since our September pricing check. The AI credits article now says that if a paid user runs out with no credit subscription, "Fireflies automatically subscribes you to the lowest AI credits tier ($5/month for 50 credits)". With a subscription, you move up to the next tier. Free users see a paywall instead.
Aisha runs sales ops for five reps on Pro. (Aisha is a composite, not a real person.) They share 20 one-time credits. If two reps run CRM autofill after every call, the pool can empty in week one, and the first top-up starts on its own. So on day one she pauses auto-upgrades under Settings, Billing.
What Fireflies' homepage says vs its pricing table and help center
Marketing pages round things off. Here are four homepage claims next to the more specific pages, all read on October 19, 2026.
| Homepage says | Pricing table or help center says | Where |
|---|---|---|
| "100+ Languages" | English is primary, others in beta; mixed-language calls on Business and up, beta, 60+ languages | Pricing FAQ, Multi-Language Mode |
| "HIPAA Compliant" | HIPAA compliance ticked on Enterprise only | Pricing table |
| Unlimited transcription (Free card) | Transcript and AI summaries "Limited" on Free; 400 mins of storage per team | Pricing table |
| "200+ AI Skills" | AI Skills draw on a shared, one-time credit pool (20 on Free and Pro) | AI credits article |
None of this means the homepage is wrong. It means the plan you pick decides which of these claims applies to you.
The Fireflies fit test: 10 questions
Answer each question for last week. The Fireflies page that decides it is in brackets.
Part A: does the core product fit?
- Did most of your meetings happen on Zoom, Meet, or Teams? (Joining FAQ: the bot joins calendar meetings on these platforms.)
- Are you comfortable with a visible "Fireflies.ai Notetaker" in those calls, or with the desktop app instead? (Joining FAQ; desktop app article.)
- Would notes flowing into your CRM, Slack, or project tool save you real time? (Integrations page; integrations from Pro.)
Part B: do the lines cut across your week?
- Did a third or more of your conversations happen in a room, a car, or on a site with no link? (Mobile app: manual in-person recording.)
- Did any call switch between languages? (Multi-Language Mode: Business and up, beta.)
- Did any single meeting run past two hours? (Pricing: 2-hour cap on Free and Pro.)
- Do you need the audio afterwards from calls you recorded without a bot? (Desktop app: no audio or video saved.)
Part C: which plan, if it fits?
- Will your team record more than 400 minutes in total soon? (Free storage per team.)
- Will anyone pass 8,000 stored minutes, or need mixed-language calls? (Pro storage; Business features.)
- Does IT require SSO, SCIM, HIPAA, or custom retention? (Pricing table: Enterprise only.)
How to read it. Three yeses in Part A and none in Part B: Fireflies suits you, and Part C picks the plan (a yes on 10 is Enterprise; on 9, Business; on 8, Pro; otherwise Free). One yes in Part B: try the free plan on that exact situation first. Two or more: Fireflies is built around a different week from yours.
Hannah scores three in Part A and none in Part B, with a yes on 9: Fireflies Business. Diego scores one in Part A and three in Part B.
Fireflies alternatives, and where ParrotNotes fits
If your test came out like Hannah's, stop here: Fireflies is a strong fit. If it didn't, these comparisons go deeper:
- Otter vs Fireflies for two call-first tools metered differently
- Fathom vs Fireflies for free-plan depth vs integrations
- Fireflies alternatives that don't join your call for bot-free options by capture method
- ParrotNotes vs Fireflies for face-to-face sales in detail
For readers like Diego, here's the app we build, from parrotnotes.app/pricing on October 19, 2026.
ParrotNotes is built around the phone in your pocket, with apps for iOS, Android, and macOS. There's no bot and no calendar to connect. Tap record, put the phone on the table, and it keeps recording with the screen locked. When you stop, you get the transcript, an AI summary, action items, and a drafted follow-up email. Recording works offline; transcription and AI need a connection.
| Fireflies.ai | ParrotNotes | |
|---|---|---|
| Built around | A notetaker that joins video calls from your calendar | The phone you carry, in any room |
| Meeting bot | "Fireflies.ai Notetaker", always visible when used | None, on any device |
| AI on the free plan | AI summaries "Limited" | An AI summary on every recording, plus 5 AI-powered recordings a month |
| Longest recording on the individual paid plan | 2 hours (Pro) | 3 hours (Pro) |
| Advanced AI | Shared one-time credit pool, top-ups after that | Every AI feature on every recording (Pro) |
| Transcript in another language | Re-transcribe the meeting in that language | Set once; transcripts come back translated into your language (Pro) |
| History on the individual paid plan | 8,000 stored minutes per seat (Pro) | Every transcript and note kept, on every plan |
Fireflies facts from fireflies.ai/pricing and its help center; ParrotNotes facts from parrotnotes.app/pricing. Both checked October 19, 2026.
ParrotNotes Free is $0 with 100 minutes of recording a month, an AI summary on every recording, 5 AI-powered recordings a month (summaries, insights, action items, sales frameworks, and chat), and unlimited written notes. Pro is $19.99 a month, or $14.99 a month billed annually, with 3,000 minutes a month, every AI feature on every recording, multilingual transcription and translation in 99+ languages, speaker identification, and AI search across your notes.
Diego's Tuesday on it: each restaurant visit recorded on the counter, his Spanish-speaking buyers' conversations returned as English transcripts, a BANT summary of the biggest deal ready before the next stop, and the follow-up email drafted in the van.
One rule applies to Fireflies, ParrotNotes, and any other tool: ask before you record. US federal law (18 U.S.C. § 2511(2)(d)) allows recording where you are "a party to the communication", but some states require every party's consent. Our overview of one-party consent states has the details. This isn't legal advice.
Want to run Diego's version of the week? Download ParrotNotes free, record tomorrow's first in-person meeting with everyone's OK, and read the summary before you've started the car.
The verdict of this Fireflies AI review
Fireflies is a mature tool for teams whose work happens on video calls. The notetaker joins from your calendar, the integrations reach most CRMs and dialers, and the desktop app gives you a quieter option when a bot isn't welcome.
The limits are in Fireflies' own pages: English first, mixed-language calls on Business, two hours per recording on Free and Pro, a storage total, and a credit meter that can start a top-up on its own. Run the fit test against your calendar, and re-read the pricing page on the day you buy.
If your most important conversations happen across a table instead of on a call, download ParrotNotes free. You get 100 minutes a month with an AI summary on every recording, on the phone you already carry, and no bot to admit.
Frequently Asked Questions
Is Fireflies.ai worth it?
It's worth it for teams that meet mostly on Zoom, Google Meet, or Teams and want notes synced to a CRM or Slack. Integrations start on Pro, at $10 per seat a month billed annually (checked October 19, 2026). For conversations in a room with no meeting link, a phone-first app fits better.
Does Fireflies.ai work without a bot?
Yes, in three ways. The desktop app for Mac and Windows records system audio with no bot but saves no audio or video. The Chrome extension records Google Meet without a bot. The mobile app records in-person meetings on the phone.
Can people see Fireflies in a meeting?
Yes, when the bot is used. Fireflies' help center says it appears as "Fireflies.ai Notetaker" and is always visible in the participant list. A host can remove it, and you keep notes for the part it recorded. The desktop app records without a visible participant.
What languages does Fireflies.ai support?
Fireflies lists more than 100 languages, with English as the primary one and the rest in beta. Calls that switch between languages need Multi-Language Mode, which is on Business and Enterprise only, in beta, for 60+ languages. Summaries come out in the dominant language.
Is there a free alternative to Fireflies.ai?
Yes. Fireflies has its own Free plan, and Otter, Fathom, and ParrotNotes all offer free plans. ParrotNotes Free records in-person conversations on your phone with an AI summary on every recording and no meeting bot.
