ParrotNotes vs Fireflies.ai: Which Fits Face-to-Face Sales?

The buyer at the distribution center doesn't do Zoom. You meet him at a folding table next to the loading dock, his plant manager joins halfway through, and the two of them switch to Spanish when they talk about the delivery window. There's no meeting link, no calendar invite, and no laptop open.

That one visit is the real question behind ParrotNotes vs Fireflies. Fireflies.ai is one of the best-known AI notetakers, built around a bot that joins your video calls. ParrotNotes is built around the phone you carry into the room. Both turn a conversation into a transcript and a summary. They start from opposite ends of the working day.

This comparison uses each company's own pages: Fireflies' pricing page and help center, and our pricing page, all checked on October 9, 2026. It's not a hands-on test, and every Fireflies claim links to the page it came from.

One disclosure: ParrotNotes publishes this blog. If you'd rather test than read, try ParrotNotes free on your next customer visit.

ParrotNotes vs Fireflies: the quick answer

If your meetings are Zoom, Google Meet, or Teams calls booked in a shared calendar, and you want a notetaker that turns up to every one of them automatically, Fireflies was designed for your week.

If your meetings happen across a desk, on a jobsite, or in a customer's warehouse, with the phone as the only device present, ParrotNotes was designed for yours. That's doubly true if you sell in more than one language or qualify deals on BANT, MEDDIC, or SPIN.

Where Fireflies fits

Fireflies earns its popularity, and it's worth being clear about what it does well.

It shows up so you don't have to. Connect your calendar, switch on Auto-join, and the notetaker joins your scheduled Zoom, Google Meet, and Teams calls on its own. For someone with eight video calls a day, that's real time saved.

It has more than one way in. The pricing page lists a desktop app, a mobile app for Android and iOS, and a Chrome extension. The mobile app has a record button for in-person meetings, and the bot-free desktop mode captures calls on Windows or Mac from system audio.

It's built for teams. Business adds conversation intelligence and team analytics for admins, and Fireflies has hundreds of AI Skills, from BANT reports to weekly pipeline summaries.

If your calendar is wall-to-wall video calls, our Otter vs Fireflies and Fathom vs Fireflies comparisons cover that side of the market in more depth.

Where ParrotNotes fits

ParrotNotes starts from the other end. The meeting isn't on a screen. It's in a showroom, a plant, a truck cab, or a coffee shop, and the phone is the only device that came along.

You tap record, set the phone on the table, and keep your eyes on the customer. When you stop, you get a transcript, an AI summary, action items, and a drafted follow-up email. Recording works offline, so a basement meeting room or a rural site won't stop you capturing the conversation; transcription and the AI run once you're back on a connection.

The apps run on iOS, Android, and macOS, so the phone in the room and the Mac at your desk share the same notes. And because nothing joins a call, there's no participant to explain to a buyer.

Curious how that works on a real visit? Download ParrotNotes free and record your next debrief in the car. You get 100 minutes a month and an AI summary on every recording.

Head-to-head: five differences that decide it

1. A bot in the call, or a phone on the table

Fireflies' joining FAQ is clear about how it works. The notetaker appears as "Fireflies.ai Notetaker", may need a host to let it in from a waiting room, and can't be hidden: "Fireflies is always visible in the participant list to ensure compliance."

That visibility is honest, and for internal calls nobody minds. With a new prospect, a named bot in the participant list is one more thing to explain before you've asked your first question. The bot-free desktop mode avoids that, though Fireflies' own article says it "does not save audio or video files" and shows speakers as "Speaker 1 / Speaker 2".

ParrotNotes never joins anything. It records through the microphone of the phone or Mac in front of you, so the meeting looks exactly like a meeting.

2. Languages and translation

Fireflies' pricing FAQ says: "Currently English is the primarily language that is supported. We also support Spanish, French, Portuguese, Italian, and 100+ other languages in beta."

For a call that switches languages, Fireflies' Multi-Language Mode is "available for Business and Enterprise plans only", is in beta, and writes the summary "in the dominant language" of the meeting. Its supported languages article covers transcription only. To get a transcript in another language, "you'll need to re-transcribe the meeting in the language you want." The re-transcribe article adds that a meeting "can be re-transcribed a maximum of 3 times" and that it "replaces the existing transcript".

ParrotNotes Pro transcribes 99+ languages and translates. A visit that moves between Spanish and English comes back as one recording, and you can read the transcript in English even if the buyer spoke Portuguese the whole time. Our guide to translating recorded audio into English shows the steps.

3. Sales frameworks without a credit meter

Fireflies does BANT and MEDDIC well, as AI Skills. Its AI Skills article lists them among the ready-made templates, says "AI Skills are available on paid plans", and adds: "Each AI Skill run on a meeting consumes AI credits from your workspace balance." The pricing page lists 20 AI credits on Pro and 30 on Business.

ParrotNotes includes BANT, MEDDIC, and SPIN as built-in frameworks. On Free, they run on your 5 AI-powered recordings a month. On Pro, they run on every recording. Record a discovery meeting, and the notes come back sorted into budget, authority, need, and timeline, with no credit balance to watch.

If you're new to the frameworks, our BANT qualification guide explains what each question is for.

4. Looking back at month two in month nine

Fireflies' storage article says: "Storage does not reset monthly – it's a total cap." The pricing page lists 400 minutes per team on Free and 8,000 minutes per seat on Pro. When you hit it, new meetings are still captured, "but you must delete older meetings to access new ones."

ParrotNotes keeps transcripts, notes, and AI insights on every plan, free included, with no time limit. For a field rep on a nine-month sales cycle, that's the meeting where the buyer first named the budget, still readable when the PO arrives.

5. The long meeting

Some meetings run long: a quarterly business review, a plant walk-through, a training day for a distributor's counter staff. At the Pro tier, Fireflies caps a single recording at 2 hours. ParrotNotes Pro records up to 3 hours in one go, with 3,000 minutes a month.

Picture Marcus, a composite manufacturers' rep (an illustration, not a customer). His principal's annual line review runs two and a half hours in a conference room with no video link. On ParrotNotes Pro it's one recording, one summary, one list of action items. He reads the summary in the parking lot and sends the follow-up email before he leaves.

The meeting-location test: seven situations, scored

Here's the part we haven't seen in other Fireflies comparisons. Take seven situations a field rep runs into every month and check each against the line on Fireflies' own pages that decides it. Count how many happen in your week.

How to read it. If none of the seven happened to you last month, your meetings live on video calls and Fireflies' bot will serve you well. If three or more did, you're the reader ParrotNotes was built for.

Now run a real week through it. Lena is a composite field rep selling food-service equipment around Houston (an illustration, not a customer). Her week:

  • Monday: two restaurant walk-throughs and a lunch with a regional chain's buyer. No meeting links.
  • Tuesday: a Zoom call with her manager, then a visit to a distributor whose owner runs half the meeting in Spanish.
  • Wednesday: a MEDDIC review of her biggest deal, which means digging out what the economic buyer said in March.
  • Thursday: a three-hour training session for a dealer's sales team.
  • Friday: the week's call reports, dictated on the drive home.

Fireflies fits Tuesday's Zoom call perfectly. Everything else in Lena's week happens in a room, in two languages, over a long cycle, or past a two-hour mark. That's five of seven situations, and her week is built around the phone.

What ParrotNotes vs Fireflies costs

Fireflies' pricing page lists four plans, priced per seat. Free is $0. Pro is $18 a seat a month, or $10 billed annually. Business is $29 a seat a month, or $19 billed annually. Enterprise is $39 a seat a month and marked "Annual only". The pricing FAQ adds that "Any teammate you added in your Fireflies workspace would be counted as a seat."

One condition sits under the Free plan's "Unlimited transcription". Fireflies' free-plan article says unlimited applies once Auto-join is on; otherwise you're "limited to the Free plan's default of 3 meeting transcriptions." Our Fireflies AI pricing guide walks through storage, AI credits, and a year-one cost for a team of five.

ParrotNotes has two plans. Free is $0 with 100 minutes of recording a month, an AI summary on every recording, 5 AI-powered recordings a month (sales frameworks run on those), and unlimited written notes. Pro is $19.99 a month, or $14.99 a month billed annually, with 3,000 minutes a month, recordings up to 3 hours, every AI feature on every recording, unlimited sales frameworks, multilingual transcription with translation, speaker identification, AI semantic search across your notes, MCP connectors for Claude and ChatGPT, and no ads.

The fairer comparison isn't the sticker. It's what each tool covers in your actual week. For a rep like Lena, a cheaper seat that captures one meeting in five isn't the cheaper option.

Ready to test it on the meetings that matter? Download ParrotNotes free, record tomorrow's first in-person visit with everyone's OK, and read the summary before you start the car.

Ask before you record, with either tool

One rule applies to Fireflies, ParrotNotes, and every other recorder: ask first. Fireflies' bot announces itself on video calls. In a room, there's no banner, so say it out loud: "Mind if I record so I don't miss anything?" Most buyers say yes. If someone says no, dictate a debrief straight after the meeting instead.

In the United States, federal law (18 U.S.C. § 2511(2)(d)) allows recording where you are "a party to the communication", but some states require every party's consent. Our map of one-party and all-party consent states covers the details. Other countries have their own rules, and this isn't legal advice. How ParrotNotes protects recordings is on our security page.

The verdict

ParrotNotes vs Fireflies isn't a contest between a good tool and a bad one. Fireflies is a strong notetaker for teams whose meetings live on video calls, and its bot is built to turn up to every one of them.

ParrotNotes is for the meetings that happen everywhere else. It records on the phone you already carry, with no bot in the room, transcribes 99+ languages with translation, sorts discovery into BANT, MEDDIC, or SPIN without a credit meter, keeps every transcript on every plan, and hands you the follow-up email before the next stop.

Run the meeting-location test on last month. If three or more of the seven situations are yours, download ParrotNotes free and record your next customer visit.

Frequently Asked Questions

Is ParrotNotes or Fireflies better for in-person meetings?

ParrotNotes is built for in-person meetings on a phone. It records on iOS, Android, or a Mac with no bot, transcribes 99+ languages with translation on Pro, includes BANT, MEDDIC, and SPIN, and drafts the follow-up email. Fireflies' mobile app can also record in person, but the product is built around a notetaker bot for video calls.

Can Fireflies record without a bot?

Yes. Fireflies' desktop app for Windows and Mac can record from system audio without the notetaker, and its mobile app records in person. Fireflies' help center says the bot-free desktop mode "does not save audio or video files" and labels speakers as Speaker 1 and Speaker 2. Checked October 9, 2026.

Can Fireflies translate a transcript?

Fireflies' help center describes transcription, not translation. To get a transcript in another language, you re-transcribe the meeting in that language, up to 3 times, which replaces the existing transcript. ParrotNotes Pro lets you speak in one language and read the transcript in another.

Does Fireflies include BANT and MEDDIC?

Yes, as AI Skills. Fireflies says AI Skills are available on paid plans and that each run consumes AI credits. ParrotNotes includes BANT, MEDDIC, and SPIN as built-in frameworks, on the 5 AI-powered recordings a month on Free and on every recording on Pro.

How much does ParrotNotes cost compared to Fireflies?

ParrotNotes Free is $0 with 100 minutes a month and an AI summary on every recording. Pro is $19.99 a month or $14.99 a month billed annually. Fireflies lists Free at $0, Pro at $18 a seat a month or $10 billed annually, Business at $29 or $19, and Enterprise at $39 a seat, annual only. Prices checked October 9, 2026.

Do I need consent to record a meeting with either app?

Ask every time. US federal law allows recording when you're a party to the conversation, but some states require everyone's consent, and other countries have their own rules. In a room, say it out loud before you tap record. This isn't legal advice; see our guide to one-party consent states for details.
