ClickUp AI Notetaker Review: Pricing, Limits and Alternatives

ClickUp's pricing page will tell you the AI Notetaker "uses AI Credits." It won't tell you how many meetings that buys. The number sits in a help article: 180 credits an hour.

Maya runs a seven-person agency that lives in ClickUp, with client calls on Zoom all day. Luis sells commercial roofing from his truck, and his important conversations happen on a ladder with no meeting link in sight. Both typed the same search this week. (Maya and Luis are composites, not real people.)

This ClickUp AI Notetaker review turns those credits into hours, shows what a team of five would pay, and lists the limits in ClickUp's own help center. It ends with a fit test for your own week.

Every ClickUp fact below comes from ClickUp's pages, read on November 4, 2026, unless another source is named. We didn't run a hands-on test, so this is a review from public sources and it reports no test result of ours.

One disclosure: ParrotNotes publishes this blog, and ParrotNotes is our app. It appears near the end for readers like Luis. If that's you, try ParrotNotes free and come back for the ClickUp facts.

ClickUp AI Notetaker review in short

ClickUp AI Notetaker fits you if your team already works in ClickUp, your meetings run on Zoom, Google Meet, or Microsoft Teams, and you want notes to land next to your tasks and Docs.

Look elsewhere if you don't use ClickUp otherwise, your conversations happen in person, your calls switch languages, or nobody on your team can have a visible notetaker in the room.

What is ClickUp AI Notetaker?

It's a feature inside ClickUp, not a separate app you can buy alone. An admin or owner turns on the AI Notetaker ClickApp, a Workspace setting. You then send it to a meeting from your calendar or by pasting a link, and it "will join as an attendee and leave a comment introducing itself."

Afterwards, the setup article says you get a ClickUp Doc with:

  • Overview and key takeaways, a short summary and the main decisions
  • Next steps, "a checklist of action items"
  • Key topics, in an expandable menu
  • Transcript and chat history
  • Recording, as video for calls of an hour or less and audio only after that (video is in beta)

You can then ask ClickUp Brain, the built-in AI, about a single Doc or search across meetings from Meetings Hub. That's the real draw of ClickUp AI Notetaker: the notes live where your projects already are.

Three notetakers, and who sees the notes

Choosing the type is the setting that matters most:

  • Personal Notetaker: the Doc is shared only with you
  • Workspace Notetaker: one Doc that everyone in the Workspace can open
  • Shared Notetaker: one Doc for the people who attended, and sometimes for invitees

Guests and limited members can't use the notetaker at all; members, admins, and owners can.

ClickUp AI Notetaker pricing

ClickUp is moving customers from one pricing model to another, so there are two answers. The intro to pricing says new Workspaces start on the new plans and "certain existing Workspaces are gradually being upgraded." Price updates for those begin no earlier than January 2027.

New plans

On new plans, the limits article says usage "is included with your plan and is not offered as an add-on." Here's how that looks, from clickup.com/pricing and the AI Credits article, as of November 2026.

PlanPer user a month, billed yearlyRegular priceAI NotetakerAI Credits
Free Forever$0$0Uses credits500 per Workspace, one time
Core$9$12Uses credits1,000 per seat a month
Business$17$25Uses credits1,500 per seat a month
Business PlusNot on the pricing pageNot listedUses credits2,000 per seat a month
EnterpriseCustomCustomUnlimited, "subject to fair usage"3,000 per seat a month
Max$100$120Unlimited10,000 per seat a month

Paid credits are pooled across the Workspace, reset on the first of each month, and don't roll over. When they run out, the AI features that use them pause until you buy more or upgrade. Extra credits cost $10 per 10,000.

Existing plans

If your Workspace hasn't been upgraded, the limits article says Notetaker usage comes through the Everything AI add-on on paid plans. To find out which side you're on, an owner or admin can open the Upcoming Bill section of the billing page. A "See what changes" notice means an upgrade is coming; no notice means there's no current change.

That split explains why so many reviews look wrong. Several that rank today still describe an add-on price. Check the date on anything you read, including this page.

What the credits buy, in hours

ClickUp's pages don't publish this table, so we built it. We divided each plan's credits by the fixed 180 credits per notetaker hour.

PlanCreditsNotetaker hours, if nothing else uses them
Free Forever500, one timeAbout 2.8 hours, ever
Core1,000 per seatAbout 5.6 hours per seat a month
Business1,500 per seatAbout 8.3 hours per seat a month
Business Plus2,000 per seatAbout 11.1 hours per seat a month

Extra credits work out at $0.18 per notetaker hour: 180 credits at ClickUp's $0.001 a credit.

That's the main point in ClickUp's favor. The top-up rate is low.

The catch is the phrase "if nothing else uses them." Super Agents, AI Fields, and image generation draw on the same pool. ClickUp estimates 100 to 300 credits for one use of an Autopilot Agent or Super Agent, the same as roughly 35 to 100 minutes of notetaker time.

What a team of five would pay

Here's the monthly bill for five seats on annual billing, with no other credit use and one notetaker per meeting. We've counted a month as four weeks and rounded up to whole $10 credit packs.

Notetaker hours each, per weekTeam hours a monthCredits neededCore, $45 + creditsBusiness, $85 + credits
2407,200$55$85
510018,000$65$105
1020036,000$85$115

Max would cost $500 a month for the same five seats. So if the notetaker were your only reason to upgrade, credits on Core or Business come out far cheaper. Pick a plan for its other features, and treat notetaker hours as a small line on top.

The duplicate trap

Dana runs operations at Maya's agency. (Also a composite.) Three colleagues have auto-scheduling on, so all three Personal Notetakers join the same one-hour client call. ClickUp's article says "each one counts toward your Workspace's AI Notetaker usage." On our reading of the fixed rate, that's 540 credits instead of 180, and three separate Docs.

The fix: select a Shared or Workspace Notetaker before the meeting starts. Personal Notetakers then switch off automatically.

Is there a free version?

There's a free way to try it. "Workspaces have 5 hours of free AI Notetaker usage per admin." Those hours are shared between admins and don't reset, so three admins share 15 hours. Members and guests can't use them.

Free Forever also has its 500 one-time credits. ClickUp doesn't say how the two allowances stack. Treat free as a test, not a plan.

ClickUp AI Notetaker limits worth checking

Each comes from ClickUp's help center and can decide the fit.

It needs a call, and in-person isn't listed

The setup article lists SyncUps plus Google and Outlook Calendar meetings on Zoom, Teams, or Google Meet, or an ad hoc link to one of those three. Nothing we read covers a meeting in a room.

On ClickUp's feedback board, a request to record in-person meetings, opened in March 2025, has 213 votes and the status "future." Users there describe starting a Zoom call on a laptop in the room, or pasting in notes from another tool.

ClickUp's nearest option is Voice Clips. You can record one in a task comment on mobile, and it's transcribed automatically if the AI ClickApp is on. That's a voice message on a task, though. The pages don't describe it as producing meeting notes.

Mixed-language calls get one language

ClickUp supports nearly 100 languages with no setup, which is generous. But when several are detected, it "will try to determine the primary language, then transcribe the entire call in this language." If your buyer switches from English to Spanish mid-call, plan to test that.

Video stops at an hour

Calls over an hour get audio only. A ClickUp employee said in 2025 that removing the notetaker and sending it again starts a new 60-minute video session, though a workaround like that may split your notes.

Zoom needs setup, and breakout rooms aren't covered

Google Meet and Teams should work without extra settings. On Zoom, the host must turn on recording settings first. If the host hasn't connected Zoom to ClickUp, they must approve each notetaker that joins. The notetaker is also "not supported in breakout rooms at this time."

Advanced features and retention sit higher up

The limits article reserves "advanced AI Notetaker features" for Business Plus and Enterprise, without listing what they are. Setting a retention period, for 30, 90, 180, or 360 days, is Enterprise and Max only.

"Unlimited" has a fair-use line

The pricing page marks Enterprise's unlimited notetaker "subject to fair usage." ClickUp's AI terms, last updated July 2025, say the limits are "in our sole discretion." If you pass them, you may have to buy more, or ClickUp "may disable or degrade performance." It's worth raising in a contract.

What hands-on reviewers report

tl;dv's test from December 2025 found short internal calls handled reasonably well, with quality slipping in longer ones and no speaker labels in the transcript. tl;dv sells a competing product and says so, and its test predates the credit model. Run your own hardest call before you rely on either view.

What ClickUp says vs what its help center says

Here are five claims next to the more specific pages, all read on November 4, 2026.

ClickUp's marketing saysThe help center or pricing page says
"Join any call from anywhere in ClickUp"Zoom, Google Meet, Teams, and SyncUps; no breakout rooms
"Meeting tasks get created + added, automatically"The notes article lists next steps as "a checklist of action items" and doesn't describe automatic tasks
"Figure out who said what"The notes article lists attendees and a transcript, without mentioning speaker labels
A price strip on the feature page opening at "$12/mo"On new plans, usage "is not offered as an add-on"; it's 180 credits an hour
"Get Started. It's free"5 hours per admin with no reset, and 500 one-time credits on Free

ClickUp's own pages also disagree in two smaller places. The setup article says ClickUp "does not set a default Notetaker type for your whole Workspace," while the customize article lets admins choose one. And help articles list a Business Plus plan the public pricing page doesn't show.

None of this makes the marketing false. It means the tasks and speaker rows are worth testing in your own Workspace during the free hours.

The ClickUp AI Notetaker fit test: 8 questions

Answer each one for last week.

  1. Does your team already plan its work in ClickUp?
  2. Did most of your meetings run on Zoom, Google Meet, Teams, or SyncUps?
  3. Are you fine with a named notetaker joining as an attendee?
  4. Would notes sitting beside your tasks save you real time?
  5. Did a third or more of your conversations happen with no meeting link?
  6. Did any call switch languages partway through?
  7. Do you need meetings in breakout rooms captured?
  8. Does anyone who needs the notetaker sit on a guest or limited-member seat?

How to read it. Yes to the first four and no to the last four: ClickUp AI Notetaker suits you, and the hours table picks your budget. One yes in 5 to 8: test that exact situation in the free hours. Two or more: it's built around a different week from yours.

Maya answers yes to the first four and no to the rest. Her agency should keep the notes in ClickUp and pay for credits as needed. Luis fails at question 1 and again at question 5.

ClickUp AI Notetaker alternatives

If you don't run your work in ClickUp, its biggest advantage disappears. Prices come from each vendor's pricing page, as of November 2026.

Where ClickUp beats ParrotNotes, and where it doesn't

We make one of these apps, so we'll start with what we'd concede.

ClickUp AI Notetaker is the better choice when:

  • Your work already lives in ClickUp. Notes land as Docs beside your projects, and Brain can search them. ParrotNotes gives you action items ready to copy into a task manager, which is one more step.
  • You want a notetaker to attend without you. It joins from your calendar, even when you can't be there. ParrotNotes doesn't join calls.
  • You want video of the call. ClickUp keeps video for calls up to an hour.
  • You need a low per-hour rate. At $0.18 a notetaker hour on top of a $9 seat, heavy call use stays cheap.
  • Your security review asks for named standards. ClickUp's feature page lists GDPR, ISO 42001, SOC 2, and HIPAA, and its pricing page lists "HIPAA support With BAA" on Enterprise. ParrotNotes makes no HIPAA claim, and our security page covers encryption and GDPR only.

ParrotNotes is the better choice when the conversation doesn't happen on a call. Luis doesn't have a meeting link to paste. He wants the roof measurements, the start date, and the three things he promised, in a form he can send.

You tap record on your phone and set it down, or keep it in your pocket. Recording continues with the screen locked, there's no bot, and there's no calendar to connect. When you stop, you get the transcript, an AI summary, action items, and a drafted follow-up email. Recording works offline; transcription and AI need a connection.

What ParrotNotes costs, from its pricing as of November 2026:

  • Free: 100 minutes of recording a month, up to 30 minutes each, an AI summary on every recording, 5 AI-powered recordings a month, and unlimited written notes. No credit card.
  • Pro: $19.99 a month, or $14.99 a month billed annually. 3,000 minutes a month, recordings up to 3 hours, every AI feature, speaker identification, and transcription and translation in 99+ languages. Apps for iOS, Android, and macOS.

Luis now records each site walk with the phone in his jacket, and has the summary and follow-up drafted before he's back in the truck. (Still a composite.) If your day sounds like his, download ParrotNotes free and record your next site visit.

One rule applies to ClickUp, ParrotNotes, and any other tool: ask before you record. ClickUp says its Zoom notices rely on Zoom's own settings and can vary by participant, so don't assume everyone saw one. Some US states require every party's consent; our overview of one-party consent states has the details. This isn't legal advice.

ClickUp AI Notetaker review verdict

For a team that already runs on ClickUp, this is a sensible default. The notes sit beside the work, the hours are cheap once you understand credits, and you can test it with free admin hours before spending anything.

The limits are in ClickUp's own pages too: no listed in-person mode, one language per call, audio only after an hour, and a credit pool shared with every other AI feature. Run the fit test, then re-read the limits article on the day you buy, since ClickUp says pricing is subject to change.

If you don't use ClickUp, or your important conversations happen across a table or on a job site, you'd be adding a whole work platform to get a notetaker. Try ParrotNotes free on your next in-person meeting, with everyone's OK, and see what comes back.

Frequently Asked Questions

Is ClickUp AI Notetaker free?

You can try it free. As of November 2026, ClickUp gives 5 hours per admin, shared across admins with no reset, and members can't use them. Free Forever also has 500 one-time AI Credits, about 2.8 notetaker hours at 180 credits an hour if nothing else uses them. After that, you need a paid plan or more credits.

How much does ClickUp AI Notetaker cost?

On new plans it uses 180 AI Credits an hour. Core is $9 per user a month billed yearly with 1,000 credits per seat, and Business is $17 with 1,500. Extra credits cost $10 per 10,000, about $0.18 an hour. Enterprise and Max ($100) include it as unlimited. Workspaces not yet upgraded use the Everything AI add-on.

How many hours do you get on each ClickUp plan?

By our calculation from ClickUp's rate, about 5.6 hours per seat a month on Core, 8.3 on Business, and 11.1 on Business Plus, as of November 2026. Those credits are pooled across the Workspace, reset monthly, don't roll over, and also pay for other AI features, so real notetaker hours can be lower.

Can ClickUp AI Notetaker record in-person meetings?

Not according to the pages we read. Its help center lists Zoom, Google Meet, Teams, and ClickUp's SyncUps. A feedback-board request for in-person recording has 213 votes and the status "future." Voice Clips can record a voice message on a task from the mobile app, but ClickUp doesn't describe that as meeting notes.

Does ClickUp AI Notetaker join as a bot?

Yes, for external calls. ClickUp says it "will join as an attendee and leave a comment introducing itself." Admins can change its name and join message, up to 900 characters. Anyone with permission to remove attendees in the video app can remove it, and a replacement only captures notes from the moment it joins.

What is a good alternative to ClickUp AI Notetaker?

For calls with a rich free plan, look at Fathom. For bot-free notes from your device's audio, look at Granola. For CRM-heavy teams, look at Fireflies. To record in-person conversations on your phone with an AI summary on every recording, ParrotNotes has a free plan with 100 minutes a month.
