Priya and Marco searched Read AI vs Otter on the same Tuesday. (Both are composites, not real people.)
Priya is a customer success manager. She runs six video calls a day on Zoom and Teams, all from her laptop, and she wants one place to search what every customer said. Marco sells irrigation equipment to farms. His meetings happen in packing sheds and site offices, about half of them switch between Spanish and English, and his laptop rarely leaves the truck.
Both tools write a transcript, a summary and action items, and both have a free plan. But they count usage in different units, join meetings in different ways, and draw different lines on languages and speaker labels. Those differences decide the fit.
This comparison is built from each vendor's pricing page and help center, read on October 28, 2026, not from a hands-on test. You'll get prices, how each one joins a meeting, what each plan cuts off, and a test that runs five meeting months through both.
A disclosure: ParrotNotes publishes this blog and appears in one section near the end, for meetings that happen in a room or across two languages. If your week looks like Marco's, you can try ParrotNotes free on your next customer visit.

Standard prices from read.ai/plans-pricing and otter.ai/pricing, October 28, 2026.
The real difference is the unit. Read AI meters meetings. Free covers 5 transcripts and reports a month, each up to an hour, and every paid plan has unlimited meetings. Read's max recording duration article says that if a meeting runs past your plan's limit, Read "will leave the meeting" and builds the report from what it captured.
Otter meters minutes. Basic gives you 300 a month and Pro 1,200, in a "shared pool across all transcription types", and Business removes the monthly cap. Each plan also caps one conversation: 30 minutes on Basic, 90 on Pro, 4 hours on Business. Basic keeps your 25 most recent conversations; paid plans keep them all.
Two more limits matter for teams. Read AI's Enterprise card says "requires 5+ licenses". Otter's Pro plan holds up to 5 billed users and Business 25.
One note on promotions. On October 28, Otter's page showed "save 50%" on Pro ($8.49 monthly, $4.17 billed annually), but the $4.17 carries a footnote: "Offer valid only with an India-issued credit card." This article uses the standard prices. For every plan detail, see our Otter AI pricing guide and our Read AI review.
How each one gets into your meeting
Read AI: an agent, Meet's own recording, or the desktop app
Read's platforms article says it works with Zoom, Microsoft Teams and Google Meet. On Teams and Zoom it joins as a participant. On Google Meet it can join as a participant "or record without joining through Google Meet native recording".
Zoom has a condition worth knowing: you "must connect your Zoom account to Read and be in the meeting, signed in to that same Zoom account." So Read won't cover a Zoom call you skip.
For Webex, GoTo Meeting or RingCentral, Read points you to its desktop app, which "can record audio from any app on your Windows or Mac computer", or to a file upload, which is on paid plans only. Its iOS and Android apps record in-person meetings but "can't record phone calls, FaceTime calls, or virtual meetings."
Otter: a Notetaker from your calendar, or a bot-free desktop app
Otter's Notetaker "can automatically join all calendar events" with a Zoom, Google Meet or Teams link, according to its auto-join article. You choose the rule: every meeting with a video link, only meetings you host, only external meetings, only internal ones, or only the ones you toggle on.
Its desktop app for Mac and Windows adds "botless recording for meetings", and the phone apps record conversations in the room. Otter's homepage also promises "Live transcription in multiple languages, and speaker recognition" during the call.
How the people on the call stop it
- Read AI, in web mode, may post a chat message naming who invited it. Anyone can type "Read Stop" (it leaves) or "Opt Out" (it leaves and deletes the data), or remove it like any participant (consent article).
- Otter: "Any meeting participant, including those without an Otter account, can remove Notetaker" by typing "stop otter" in the meeting chat (removal article).
Neither command works when someone records with a desktop or phone app, because there's no bot to receive it. Then the person recording owns consent.
Speaker labels, languages and playback
Who said what
Read's consent article is plain about local capture: in desktop or mobile mode, Read "does not know who is speaking. It produces a transcript without speaker attribution." Speaker labels come from the agent in a video call.
Otter works differently. Its speaker identification overview says Otter tags speakers automatically from the voice data in your account, and that "processing will begin after the recording has stopped". When you tag someone by hand, Otter learns their voice for future conversations.
Languages
Read's supported languages article lists 35 languages for meeting reports, from Afrikaans to Vietnamese. It also warns: "Meetings where multiple different languages are spoken are not fully supported by Read and may produce inconsistent results."
Otter's languages article lists six: English, Spanish, French, German, Japanese and Chinese (Simplified). "Otter can only transcribe in one language at a time", so you pick the language before the meeting. The one exception it describes is French as the default, which switches to English when it hears it.
Playback and search
Otter saves the audio with every transcript, so you can replay a quote before you send it. Read AI's audio and video playback starts on Enterprise, which needs 5 or more licenses; Pro gives you transcripts and reports without playback.
Read's strength is search. Ask Read is "free for all Read users" and searches your meetings plus connected email, calendar and Slack or Teams chat, with no limit on questions. Otter's AI Chat is capped: 20 queries a month on Basic, 50 on Pro, 200 on Business.
Privacy and consent
Read AI's data article answers "Does Read AI sell your data?" with "No.", and says it doesn't train on your meetings "without your explicit opt-in", naming one exception, a Customer Experience Improvement Program. Organizations can limit or switch off transcript storage and still get summaries.
Otter is the one people ask about. In August 2025, a proposed class action was filed in federal court in Northern California alleging that Otter's Notetaker recorded people without their consent and used recordings to train its AI (NPR report via TPR). Those are allegations, not findings. The same report notes Otter's privacy policy says it gets explicit permission before using transcripts for training.
The lesson is the same for every tool, ParrotNotes included: tell people before you record. Some US states require everyone's consent; our list of one-party consent states covers the basics. This isn't legal advice.
The meeting-month test: five months through both plans
Prices only mean something against your calendar. Here are five meeting months run through both vendors' published limits as of October 28, 2026. The people are composites; the limits and prices are the vendors'.
1. Ellen, solo consultant: 12 Zoom calls a month, 45 minutes each
- Read AI Free covers 5 calls; 7 get no report. Read AI Pro covers all 12.
- Otter Basic cuts every call at 30 minutes, and the 300-minute pool runs out after 10 calls. Otter Pro covers all 12 in full (540 of 1,200 minutes).
- Cheapest full fit: Otter Pro, $99.96 for the year billed annually.
2. Priya, customer success: 6 video calls a day, 30 minutes each
That's about 126 calls and 3,780 minutes a month over 21 working days.
- Read AI Pro covers every call: unlimited meetings, each well under 4 hours.
- Otter Pro runs out of its 1,200 minutes around day seven. Otter Business covers the month.
- Cheapest full fit: Read AI Pro, $180 for the year billed annually, against $239.88 for Otter Business.
3. Lena, training lead: 4 two-hour workshops and 8 one-hour calls
- Read AI Free stops each workshop after an hour, and 5 meetings won't cover 12. Read AI Pro covers everything.
- Otter Pro has the minutes (960 of 1,200), but its 90-minute cap ends each workshop half an hour early. Otter Business covers it.
- Cheapest full fit: Read AI Pro, $180 a year.
4. Marco, field rep: 16 farm visits a month, 40 minutes, half in Spanish and English
- Read AI: the phone app records the room, Pro covers every visit, but local recordings have no speaker labels and mixed-language meetings are "not fully supported".
- Otter Pro has the minutes (640 of 1,200) and tags speakers after each recording, but it transcribes one language at a time, set before the meeting, which doesn't suit the mixed half.
- Cheapest full fit: neither, for the bilingual half. See the ParrotNotes section below.
5. Jordan's team: 6 reps, 60-minute Zoom demos, replay and CRM sync wanted
Each rep runs about 20 demos a month, 1,200 minutes, exactly Otter Pro's cap.
- Read AI: Pro has Salesforce and HubSpot but no playback. Replay needs Enterprise: 6 × $22.50 × 12 = $1,620 a year.
- Otter: Pro holds 5 billed users and leaves no minutes to spare, so a sixth rep means Business: 6 × $19.99 × 12 = $1,439.28 a year, with audio on every call.
- Cheapest full fit: Otter Business, $1,439.28.
| Meeting month | Cheapest plan that covers it | Year one |
|---|---|---|
| Ellen: 12 calls of 45 minutes | Otter Pro (annual) | $99.96 |
| Priya: 126 calls of 30 minutes | Read AI Pro (annual) | $180 |
| Lena: workshops over 90 minutes | Read AI Pro (annual) | $180 |
| Marco: in person, two languages | Neither fully | n/a |
| Jordan: 6 reps, replay wanted | Otter Business (annual) | $1,439.28 |
Computed from standard annual prices on read.ai/plans-pricing and otter.ai/pricing, October 28, 2026: Read Pro $15 × 12 = $180; Read Enterprise $22.50 × 12 = $270 per user; Otter Pro $8.33 × 12 = $99.96; Otter Business $19.99 × 12 = $239.88 per user.
The pattern: Otter wins on price when calls are few and short. Read AI wins once you have lots of meetings or meetings longer than 90 minutes, because it doesn't count minutes. Neither is built for a conversation that moves between two languages in a room.
What other Read AI vs Otter comparisons get wrong
We checked claims from pages ranking for this search against each vendor's own pages on October 28, 2026. Some were probably right when written.
| Claim you'll see | What the vendor's own page says | Where |
|---|---|---|
| Otter's CRM updates "remain manual" (Read's own comparison page) | Otter Pro lists Salesforce, HubSpot and Zapier integrations, "subject to user limits" | otter.ai/pricing |
| Read AI supports "20+" or "16+" languages (Read's pricing page) | 35 languages for meeting reports | Read supported languages |
| Read AI always joins as a bot | On Meet it can use Meet's own recording; the desktop and phone apps have no agent | Read platforms article |
| Otter transcribes "multiple languages" (Otter's homepage) | Six languages, one at a time per conversation | Otter languages article |
If your meetings happen in a room: ParrotNotes
Read AI and Otter are both built around the calendar invite and the video link. Marco's month has few of either: the farm manager switches between Spanish and English mid-sentence, and Marco wants the follow-up email done before he drives to the next farm.
That's the job ParrotNotes is built for. Open the app on your phone, tap record and set it on the table. When you stop, you get a transcript, a summary, the action items and a drafted follow-up email. There's no bot and no calendar to connect.
| Read AI | Otter.ai | ParrotNotes | |
|---|---|---|---|
| Built around | An agent on Zoom, Teams and Meet, plus search across email and chat | A calendar Notetaker and recordings | Conversations in any room, on your phone |
| Meeting bot | Agent in web mode; none in the desktop or phone app | Notetaker joins calls; desktop app without | None, ever |
| Speaker labels in a phone recording | None | Tagged after the recording | Speaker identification (Pro) |
| Transcription languages | 35 | 6 | 99+ (Pro) |
| Two languages in one meeting | "Not fully supported" | One language at a time | Handled in one recording, with translation (Pro) |
| Cheapest paid plan, billed annually | $15 a month | $8.33 a month | $14.99 a month |
Read AI and Otter facts from their pricing pages and help centers; ParrotNotes facts from parrotnotes.app/pricing. Checked October 28, 2026.
ParrotNotes Free gives you 100 minutes of recording a month (up to 30 minutes a recording), an AI summary on every recording, and 5 AI-powered recordings a month with action items and sales frameworks. ParrotNotes Pro is $19.99 a month, or $14.99 a month billed annually ($179.88 a year), with 3,000 minutes a month, recordings up to 3 hours, multilingual transcription and translation in 99+ languages, and speaker identification.
Marco's 16 visits come to about 640 minutes, well inside Pro's 3,000. His Spanish-and-English meetings come back as one transcript in the language he picks, with speaker identification to separate the farm manager from the buyer. Many readers keep Read AI or Otter for video calls and use ParrotNotes for the room. Our guides to bilingual meeting notes and AI meeting notes without a bot go further.

The verdict on Read AI vs Otter
Choose Read AI if you have lots of scheduled video meetings or meetings longer than 90 minutes, you want one search across meetings, email and chat, and you're fine with an agent in the call. Pro at $15 a user a month billed annually has no meeting count or minute meter.
Choose Otter if your calls are few and short, you want the cheapest paid seat, audio you can replay without an Enterprise plan, or speaker labels on recordings you make without a bot. Pro is $8.33 a user a month billed annually.
Still unsure? Count last month's meetings, minutes and longest call, and run them through the test above. Frequently Asked Questions
Is Read AI or Otter cheaper?
Otter is cheaper per seat: Pro is $8.33 a user a month billed annually, against $15 for Read AI Pro. Read AI becomes the cheaper choice once you go past Otter Pro's 1,200 minutes a month or its 90-minute meeting cap, because Read's paid plans have unlimited meetings up to 4 hours each. Prices checked October 28, 2026.
Does Read AI or Otter work without a bot?
Both can. Read AI's desktop app and phone apps capture audio locally, and on Google Meet it can use Meet's own recording. Otter's Mac and Windows desktop app records meetings without a bot. Read's local recordings don't label speakers; Otter tags speakers after the recording stops.
Is Otter AI being sued?
In August 2025, a proposed class action was filed in federal court in Northern California alleging that Otter's Notetaker recorded people without consent and used recordings to train its AI. These are allegations, not findings. Whatever tool you use, tell people before you record.
Which supports more languages, Read AI or Otter?
Read AI. Its help center lists 35 languages for meeting reports, though meetings that mix languages are "not fully supported". Otter transcribes six languages, one at a time. ParrotNotes Pro transcribes 99+ languages and handles conversations that switch between them.
Can Read AI or Otter record in-person meetings?
Yes, both have iOS and Android apps that record a conversation in the room. Read AI's phone recordings have no speaker labels, and Otter's minute and length limits apply to phone recordings too. For meetings that happen mostly in person, a phone-first app such as ParrotNotes is built for the job.
