Marta produces training videos for a manufacturer with plants in Ohio, Mexico and Germany. Every video ships with English, Spanish and German subtitles, and she needs the files in SRT for the company's learning platform by Friday. Owen is a freelance reporter. His interviews happen in kitchens, union halls and parked cars, recorded on his phone, and what he needs afterward is the quote, the gist and the follow-up questions. (Marta and Owen are composites, not real people.)
Both of them have typed "Happy Scribe review" into a search bar. It's built for one of them.
This Happy Scribe review is built from Happy Scribe's own pages: its pricing page, homepage, subtitle and translation pages, apps page, professional services price list, security page and help center, all read on October 23, 2026. We make ParrotNotes, a phone-first note taker, so we have an interest. That's why every Happy Scribe fact below links to Happy Scribe's own page, and why the comparison sits in one section near the end.
One note on search intent: some people searching "is Happy Scribe legit" want to know about working as a freelance transcriber for the company. This post reviews the product, not the job.

Happy Scribe in short
Happy Scribe is a transcription, subtitle and translation platform, hosted in the EU, that has grown a meeting notetaker on top. You upload audio or video (or let its bot join a Zoom, Meet or Teams call), get an AI transcript in 150+ languages, edit it, then export a document or a subtitle file. When AI isn't good enough, you can order a human-made transcript or subtitles from $2.00 a minute.
It's priced by the minute of AI processing. Plans run from Basic at $17 a month (120 minutes) to Business at $89 a month (6,000 minutes), with extra minutes at $0.20. The free plan is a 10-minute trial, not a monthly allowance.
Verdict: a strong choice if you produce subtitles, work across many languages or want a human-checked transcript on the same platform. Less of a fit if your work is capturing conversations on your phone and acting on them the same day.
What Happy Scribe does
The homepage and product pages describe five jobs:
- Transcribe files and calls. Upload audio or video, or connect a calendar so the notetaker joins Zoom, Google Meet and Microsoft Teams calls. Happy Scribe lists speaker diarization, automatic language detection and a glossary for names and jargon.
- Make subtitles. The subtitle generator page lists exports to "SRT, VTT, STL, TXT, Final Cut Pro, AVID, Premiere, and more", an editor with a timeline and soundwave, and burning captions into an MP4 "with a single click".
- Translate. AI translation in 80+ languages, per the pricing page.
- Summarize and chat. Summaries, action items and an "Ask your meetings" chat, which also works through MCP with Claude and ChatGPT.
- Sell human work. Professional transcription, subtitles and translated subtitles, ordered per minute.

Happy Scribe pricing in 2026
Happy Scribe's pricing page lists four paid tiers and a free plan. Older reviews quote older plans and prices, so here is what the page says today.
| Plan | Billed monthly | Billed annually | AI minutes | Seats | Per recording |
|---|---|---|---|---|---|
| Free | $0 | $0 | 10-minute trial | 1 | 45 minutes |
| Basic | $17 a month | $8.50 a month | 120 a month (1,440 a year) | 1 | 90 minutes |
| Pro | $29 a month | $19 a month | 600 a month (7,200 a year) | 3 | Unlimited |
| Business | $89 a month | $59 a month | 6,000 a month (72,000 a year) | 5 | Unlimited |
| Enterprise | Contact sales | Contact sales | Not listed | Not listed | Not listed |
Source: happyscribe.com/pricing, checked October 23, 2026.
The minutes cover "AI transcription, subtitling, and translation". Extra minutes cost $0.20 on every paid plan. Extra seats on Pro and Business cost $29 a month, or $19 billed annually.
What changes between plans:
- Basic adds unlimited recording history, AI Chat on 10 files a month, PDF and DOCX export, and removes the watermark from video exports.
- Pro adds unlimited AI Chat, more subtitle formats (VTT, STL, XML, FCPXML, EDL), custom notetaker branding and a choice of AI models. Custom summary templates are marked "Soon".
- Business adds workspace roles, unlimited style guides and glossaries, and 5% off human proofreading.
What a year of Happy Scribe costs
Worked from the prices above for files you upload for transcription. Happy Scribe's plans help article says annual plans give all the year's minutes upfront, so the annual figures use the yearly pool.
| Your volume | Cheapest fit on monthly billing | Cheapest fit on annual billing |
|---|---|---|
| 2 hours a month (1,440 minutes a year) | Basic: $204 a year | Basic: $102 a year |
| 10 hours a month (7,200 minutes a year) | Pro: $348 a year | Pro: $228 a year |
| 20 hours a month (14,400 minutes a year) | Business: $1,068 a year | Business: $708 a year |
At 20 hours a month, staying on Pro and paying the overage costs more than moving up. Pro billed annually plus 7,200 extra minutes at $0.20 comes to $1,668, more than twice Business at $708.
That's the trap Priya walked into. She's a composite researcher transcribing 20 hours of interviews a month, and she picked Pro because it was "Most Popular".
By month three she had burned through her minutes and was topping up at $0.20 each. The fix wasn't a different tool. It was a different plan.
Unused plan minutes reset each billing cycle; topped-up minutes stay until used. You can cancel at any time and keep access to the end of the period.
The pricing page also lists meeting recordings as unlimited on every plan, separately from the AI minutes. Check how your meetings count before you choose a plan from this table.
Is Happy Scribe free?
Partly. The Free plan includes a "10-minute free trial of AI Transcription, Subtitling and Translation", unlimited meeting recordings of up to 45 minutes each, limited recording history, AI Chat on 3 files a month and TXT and SRT export, with a watermark on MP4 video. No credit card is needed.
Ten minutes is enough to judge the editor, not a full interview. Pick one hard clip: crosstalk, an accent, background noise.
Want a transcript of a real conversation without a trial clock? Start with ParrotNotes free: 100 minutes of recording every month, with a summary on each one.
Happy Scribe subtitles and human transcription
This is where Happy Scribe differs from most AI notetakers: you can send a file to "professional linguists". The pricing page lists human proofreading from $2.00 a minute ($1.90 on Business), "99% accuracy" and "Delivery in 4h+".
The price depends on the language. Happy Scribe's professional services price list shows two price lists per language, for the "most cost-efficient service level":
| Language | Price per minute (from) | Turnaround listed |
|---|---|---|
| English | $2.00 to $2.25 | Under 24 hours |
| Spanish | $2.00 to $2.75 | Under 24 hours |
| French | $2.75 to $3.25 | Under 24 hours |
| German | $3.50 to $4.00 | Under 36 hours |
| Japanese | $6.20 to $7.30 | Not listed |
| Icelandic | $13.25 to $16.25 | Not listed |
Source: happyscribe.com/pricing-professional-services, checked October 23, 2026. "Final price may vary depending on specific requirements, project size, language and turnaround time."
Translated work costs more. English audio with Spanish output starts at $7.00 a minute, English to German at $9.85 and Spanish to English at $8.30.
Run Marta's numbers. A 12-minute training video with human-made English subtitles costs from $24. The same video with German subtitles translated by a person starts at about $118.
For a video that will be shown to 2,000 employees, that may be money well spent. For a weekly team update, the AI subtitles at a fraction of that price are the realistic choice.

Accuracy and languages: what Happy Scribe's own pages say
Happy Scribe's numbers change from page to page. Here they are, read on one day.

|---|---|---|
| AI accuracy, English | 93% (other tools 88%) | Homepage |

| AI accuracy, subtitles | "up to 85-95% accurate" and "85% accuracy" | Subtitle generator page |

| Free allowance | "10-minute free trial" | Pricing page |
| Free allowance | "the free HappyScribe plan includes free transcription minutes every month" | Apps page |
All Happy Scribe pages checked October 23, 2026.
None of this is a red flag. Sites grow page by page, and older pages keep older numbers. The practical reading:
- Accuracy depends on the job. A clean English recording may hit the homepage's 93%. A noisy panel or a subtitle file may land nearer 85%. Even at 93%, a 6,000-word interview could hold around 400 wrong words. Check every quote against the audio.
- The pricing page is the current source for what you buy. Where another page disagrees, go by the pricing page and test in the trial.
- Language count is a real strength. Even the lowest figure, 120+, beats most rivals.
The homepage's "+15 points more accurate" claim is Happy Scribe's own benchmark, and we haven't tested it.
Apps, meetings and security
The notetaker. Connect Google or Outlook Calendar, and Happy Scribe's notetaker joins your Zoom, Meet and Teams calls and transcribes them. The homepage also offers bot-free recording on desktop and mobile; the macOS desktop app is marked "Available soon".
The mobile app. The apps page describes iPhone (iOS 15.1 or later) and Android apps that work as "a voice recorder for in-person meetings" with live transcription. There's "no dedicated iPad version".
Security. The security page says Happy Scribe is "SOC 2 Type 2 certified" and GDPR compliant, keeps data in an EU data center, and encrypts data with TLS in transit and AES-256 at rest. The service runs on Amazon Web Services and Heroku. The page doesn't mention HIPAA.
AI training. Happy Scribe's help center states: "Training is opt-in, off by default, and managed by your workspace's administrators." That's a clear line, and better than many rivals.
Consent. Whatever tool you use, ask before you record. Some US states require every party's consent; our overview of one-party consent states explains the rules. This isn't legal advice.
Happy Scribe review: where it's strong
Happy Scribe's homepage cites 4.6 on G2 and 4.7 on Trustpilot, and the reasons are easy to see:
- Happy Scribe subtitles done properly. Professional formats (STL, FCPXML, EDL on Pro), a timeline editor and burn-in. For a video producer, that's the whole job.
- Languages. 150+ for transcription and 80+ for AI translation cover nearly any interview or video.
- AI and human on one bill. Start with AI, then send the one file that matters to a person, on the same platform.
- European data handling. EU data residency, SOC 2 Type 2 and training off by default.
- Fair pricing at volume. Business billed annually works out to under a cent a minute ($708 for 72,000 minutes).
The Happy Scribe fit test: 8 questions
Answer yes or no:
- Do you publish video that needs subtitle files?
- Do you work in a language outside the top 20 most common ones?
- Will you sometimes pay for a human-checked transcript?
- Do most of your recordings already exist as files when you start?
- Do your meetings happen on Zoom, Meet or Teams?
- Do you need EU data residency?
- Can you estimate your monthly minutes well enough to pick a plan?
- Is a full transcript or subtitle file, rather than a summary and next steps, the thing you need?
Six or more yes answers: Happy Scribe is built for you. Use the 10-minute trial on your hardest clip, then pick the plan from the cost table above.
Three or fewer: you're paying for a subtitle and transcription workshop you won't use. Look at the alternatives below.
Marta answers yes to seven. Owen answers yes to two.

If you capture conversations on your phone: ParrotNotes
ParrotNotes is a note taker for conversations that happen in the room. You open the app on your phone, tap record, put the phone on the table, and get a transcript and a summary when you're done. There's no bot to invite and nothing to set up first.

Happy Scribe facts from happyscribe.com/pricing and its homepage; ParrotNotes facts from parrotnotes.app/pricing. Checked October 23, 2026.
The trade is plain. Happy Scribe lists more languages and does subtitles and human work; ParrotNotes doesn't. ParrotNotes gives you more recording time for the money and turns each conversation into next steps.
ParrotNotes Free adds 5 AI-powered recordings a month and unlimited written notes, with recordings up to 30 minutes. Pro adds recordings up to 3 hours, every AI feature on every recording, speaker identification, AI search and docx and PDF export.
Owen's week on it: each interview recorded on his phone, even in a parked car with one bar of signal, then transcribed once he's back online.
He reads the summary before he starts the engine, copies the action items into his notes and finds the quote with AI search. His interviews in Spanish get a Spanish transcript and an English translation on Pro. Already have a video file? Our free video to text tool takes an upload, and the audio to text tool does the same for audio.
Run Owen's test. Download ParrotNotes free, record your next in-person interview with the other person's OK, and read the summary before you've left the building.
The verdict of this Happy Scribe review
Happy Scribe is a well-built platform for transcripts, subtitles and translation. Its strengths are 150+ languages, professional subtitle formats, human transcripts on the same bill, EU data handling and AI training switched off by default. Its costs are on its own pricing page: a 10-minute free trial, plans priced by the minute from $17 a month, $0.20 for each extra minute and human work from $2.00 a minute in English, more in other languages.
So decide by the job. If you're Marta, shipping subtitled video in three languages, start the Happy Scribe trial and pick your plan from the cost table. If you're Owen, capturing interviews on the phone in your pocket, get ParrotNotes free and see the difference on your next conversation.
