What a receipt includes
Your business
Name, address and a phone or email, so the customer knows who they paid. Add a tax ID if your customers need it on their paperwork.
Receipt number and date
A number you never repeat and the date the money changed hands. The template suggests one like R-20261007-01.
Who paid
The customer's name, and an address or contact if the receipt will be filed or claimed later.
What it was for
Each item or service with quantity and price, so the receipt matches the job, the rent month or the invoice it pays.
Tax and total
Any discount, tax at the rate you type (or the tax your prices already include) and the total, worked to the cent.
How they paid
Cash, card (last 4 digits only), check number or transfer reference, the amount paid, any balance due and a signature.
Which receipt do you need?
- Sales receipt
- Goods or a service paid for at the time of sale: a treatment, a repair, a product sold on the spot.
- Cash receipt
- Proof that cash was handed over, often for a deposit or a payment with no card record. Write the amount paid and any change.
- Rent receipt
- A tenant's payment for a month or a period. Put the property, the unit and the period in the description.
- Payment receipt
- A payment against an invoice or an account, in full or in part. Untick "Paid in full" to show the balance still due.
Receipt, invoice, quote and bill of sale
- Quote
- The price you offer before the work. Nothing has been paid.
- Invoice
- The bill that asks for payment, with a due date.
- Receipt
- Proof that a payment was made: how much, for what, when and how.
- Bill of sale
- A record that ownership of an item, such as a car, passed from seller to buyer.

Tips for receipts customers keep
Number every receipt
A sequence with the date in it sorts itself and stops two receipts sharing a number when a customer calls about one.
Card: last 4 digits only
Never write a full card number on a receipt. The last four digits are enough for the customer to match their statement.
Partial payments show the balance
If the customer paid a deposit, untick "Paid in full", enter what they paid and the receipt shows what is still due.
Keep a copy
Print two, or save the PDF, and keep yours with your books. A receipt you cannot find later does not help either of you.

Keep a copy of every receipt. The IRS lists receipts among the supporting documents a business keeps, with sales slips, invoices and deposit slips, to show the amounts and sources of its gross receipts. This is a template, not tax advice.
