Free Packing Slip Template

Fill in who it ships from and to, the order and PO numbers, and each item with the quantity ordered and shipped. Backorders work themselves out, prices stay off unless you want them, and the slip updates as you type. Print it for the box, save it as a PDF, copy it as text or download a CSV. Also prints a blank packing list to fill in by hand.

What a packing slip includes

  • Ship from and ship to

Your company and the customer's delivery address, with a phone number and email for the receiving dock. The slip goes in the box, so the receiver sees it before any invoice.

  • Order, PO and slip numbers

The customer's PO number is what their receiving team matches the box against; your order number and a slip number tie it to your side. The generator suggests a slip number like PS-20261014-01.

  • Dates, carrier and tracking

Order date and ship date, the carrier and the tracking number, so whoever opens the box can trace the shipment without calling.

  • Items ordered and shipped

SKU, description, quantity ordered, quantity shipped and the unit for each line. The backordered column is ordered minus shipped, so a short shipment explains itself.

  • No prices, unless you want them

A packing slip normally carries no prices: the invoice does that. A toggle adds unit price and line total for customers who ask for a priced packing list.

  • Packed, verified, received

Who packed the order, who checked it against the order, and a line for the receiver to sign when the slip doubles as a delivery note.

Delivery note template

A delivery note is the same sheet by another name, common in the UK and Europe: it travels with the goods, lists what is being delivered, and the receiver signs it to confirm the goods arrived. This template prints a "received by" signature and date line for exactly that, so the same packing slip works as a delivery note or a packing list.

Use the blank version when the driver or the warehouse fills the sheet in by hand: it keeps your ship-from block and leaves twelve empty item rows and the signature lines.

Packing slip, invoice and bill of lading

Packing slip
Goes in or on the box. Lists what was ordered and what is in this shipment, item by item, for the person who opens it. No prices by default.
Invoice
Goes to accounts payable. Lists the same items with prices, tax and the amount due, quoting the PO number so it can be matched to the order and this slip.
Bill of lading
Goes to the carrier. Describes the freight as handling units and weight, names shipper, consignee and who pays the freight, and is the carrier's receipt and contract of carriage.

Shipping on a pallet with a carrier? Fill in the bill of lading template for the driver and put this packing slip in the box.

The customer's side of the paper trail starts with the purchase order template; its PO number belongs on this slip.

Tips for a slip that stops the phone ringing

  • Count twice, then print

The slip is checked against the box by someone who did not pack it. A quantity that is off by one costs a call, a credit and a reship.

  • Show the backorder, do not hide it

If 100 of 120 shipped, say so on the slip and in the notes, with when the rest ships. A short box with no explanation reads as a mistake.

  • Use the customer's PO number

Receiving docks file by their own PO number, not your order number. Put both on the slip, the PO first.

  • Leave prices off unless asked

The slip is read on the dock, not in accounts. Prices belong on the invoice; some customers ask for a priced packing list, and the toggle is for them.

  • One slip per box

When an order ships in several boxes, each box gets a slip listing its own contents and "box 2 of 3" in the notes, so a missing carton is obvious.

  • Keep the signed copy

When the slip is signed as a delivery note, the signed copy is your proof of delivery. Photograph it before it goes in the file.

The slip lists what shipped. The meeting decided what was ordered.

Quantities, substitutions and the ship date were agreed in a conversation with the customer. Record that meeting in ParrotNotes and get the summary and action items, so what goes in the box matches what was agreed. Free for 100 minutes of recording a month.
