Attendance Tracker

Add the people and the sessions, click a cell to mark present, absent, late or excused, and the totals and attendance rate work themselves out. Print the filled record or a blank attendance sheet to tick on paper, or download a CSV. For team meetings, training and events; not a payroll time clock.

What the tracker records

  • People down, sessions across

Up to 200 people and 60 sessions in one grid. Add people one at a time or paste a list, one name per line, and add a team or role next to each name if you want it on the sheet.

  • Four marks a cell

Click a cell to cycle present, absent, late, excused and blank, or press P, A, L or E on a focused cell and Backspace to clear it. A blank cell means not yet marked, which is different from absent.

  • Totals per person

Present, absent, late and excused counts and an attendance rate: present plus late, divided by the sessions marked with excused absences left out. Unmarked cells do not count against anyone.

  • Totals per session

How many were present at each session, under its column, so you can see which meeting half the team skipped.

  • Session presets

A weekly meeting for N weeks from a date, a training course of N sessions, an onboarding week (five weekdays) or daily safety huddles. Edit any date or title afterwards.

  • Print, CSV, draft

Print the record or a blank sheet (landscape when there are many sessions), download a CSV with one row per person, and come back to the draft kept in this browser.

Attendance sheet template to print

Switch the print view to "Blank sheet" and the same grid prints with empty cells: the names down the side, the sessions across the top, a box to tick at each one, and an optional signature column. Print one per course or per month, keep it on the clipboard, and type the marks into the tracker afterwards if you want the totals.

A sheet for a single meeting with signatures, time in and time out is a different job: use the sign-in sheet template for that. This page is for the record across many sessions, where the question is who keeps missing and who was there for all of them.

Which tool for which job

One meeting, signatures
A sign-in sheet people sign on the way in, with time in and time out when attendance has to be proven. Sign-in sheet template
Many sessions, one record
This page: who was at which session of a course, a weekly meeting or an onboarding week, with totals.
Who works when
A rota of shifts by day and person, which is planning, not attendance. Shift schedule generator
Hours worked
Time in, time out and breaks for pay. An attendance tracker is not a time clock. Time card calculator

Tips for keeping attendance honest

  • Mark it in the room

Take attendance in the first two minutes while people are settling, not from memory the next day. The late column exists so you do not have to decide between present and absent.

  • Decide what excused means

Say it once: an excused absence is one you agreed to before the session. Then the rate means the same thing for everyone.

  • Record only what the group needs

Names, a team or role, and the marks. Keep the sheet with the course or meeting record and share the totals, not the grid, when you report up.

  • Send the missed session, not a reminder

The people with the lowest rate need the content they missed. A summary and the action items get them back in step faster than a note about attendance.

More on running the meetings themselves: running a nursing staff meeting, sales onboarding, the all-hands meeting, the staff meeting agenda template.
