Sembly AI Review 2026: Meeting Notes, Pricing and Alternatives

Priya and Diego both typed "Sembly AI" into a search bar on the same Monday. Priya runs a three-person consulting practice in Chicago. Her week is client calls on Zoom and Teams, and every call ends with a proposal or a status report she has to build by hand. Diego sells commercial HVAC parts across South Texas. His week is contractor offices, job sites and supply-house counters, half of it in Spanish, and his notes live in a truck-cab notebook. (Priya and Diego are composites, not real people.)

They want different things from the same name, and in 2026 the name changed meaning.

Sembly AI started in 2019 as a meeting assistant that joins your calls, records them and writes the notes. This year it relaunched as what its homepage now calls "AI deliverable production for professional services": a system that turns meetings, files and a client's brand into finished decks and proposals. The meeting notes are still there. They're now one part of a bigger product.

This Sembly AI review is built from Sembly's own pricing page, its help center and its September 2026 launch release, all read on October 20, 2026. A disclosure first: ParrotNotes publishes this blog, and ParrotNotes is our app. It appears near the end for readers like Diego, whose meetings happen across a table. If that's you, try ParrotNotes free on your next customer visit and compare.

Sembly AI at a glance

Sembly suits you if most of your meetings are scheduled calls on Zoom, Teams, Google Meet or Webex, you're happy for a visible "Sembly Agent" to join them, and the real goal is a branded client deliverable rather than notes alone. Consultants, agencies and account teams are who Sembly now builds for.

Look elsewhere if your conversations happen in person more than on a screen, you need more than two languages in a workspace, or you want a free plan you can live on rather than a one-hour trial.

Sembly in 2026: from meeting assistant to deliverable studio

If you read a Sembly review from 2025, much of it is out of date. Two changes this year reshaped the product, and Sembly's own help center documents both.

DateWhat changedSource
March 1, 2026New plans: a free trial, Basic, Pro, MAX and Enterprise. The legacy Professional, Team and Team Plus plans close to new sign-ups and keep running "as usual by December 2026"Plan update article
March 1, 2026Semblian 2.0, the multi-meeting AI chat, moves into Pro, MAX and Enterprise. On legacy plans it stays a $29 per license per month add-onSemblian 2.0 activation
September 8, 2026Sembly 3.0 launches: an "agentic AI platform" that turns documents, meetings and CRM content into branded presentations, proposals, case studies and reportsPR Newswire release
October 2026Homepage leads with "Client brief in. Branded deck out." and a comparison against Gamma, Microsoft Copilot and Claude, not other note takerssembly.ai

The launch release quotes co-founder Artem Koren: "Manually creating presentations is a thing of the past." Sembly still records and summarizes meetings, but the pitch is now the deck you build afterward. Good news for Priya. For Diego, the product's center of gravity sits a long way from a job-site trailer.

How Sembly gets a meeting: four capture routes

A note taker is only as good as the audio it can reach. Sembly offers four routes in, each built from the help center article linked in its row.

RouteHow it worksWho gets named in the transcriptGood to know
Sembly Agent on a callJoins Zoom, Teams, Google Meet or Webex "by URL" as a meeting guest, from your calendar, an email invite, an instant link or the Chrome extension (platforms)Names come from the video platformVisible to everyone; posts greeting and goodbye messages in chat by default; can't join Google Education meetings
Mobile appOpen Local Recordings, tap the microphone; recording continues in the background and works offline (mobile guide)Speaker 0, Speaker 1 unless people have recorded a Voice IDAfter you tap Done, you "open the recording and tap the Upload to My Meetings button" to process it
Web Audio RecorderIn the browser: New Meeting, then Record Audio, using your laptop's microphone or an external one (audio recorder)Speaker 0, Speaker 1 unless Voice ID is set upSembly asks you not to refresh or switch tabs and to keep the connection stable
Upload a fileUpload MP3, WAV, M4A, MP4 and other formats, under 5 hours and 500 MB (uploads)Speaker 0, Speaker 1 unless Voice ID is set upUses credits (see the credit math below)

Two details matter for anyone outside a video call. First, Sembly's FAQ answers "Does Sembly record phone calls?" with a plain "No"; it suggests recording the call elsewhere and uploading the file. Second, automatic names in room recordings depend on Voice ID, which works only for registered Sembly users who have recorded a voice sample, according to its article on how Sembly identifies speakers. A prospect across the table won't have one.

What Sembly does with a meeting

Once a meeting is processed, Sembly's meetings page describes a deep set of outputs. This is where Sembly is strongest.

  • Meeting notes by template. Seven template categories, including Client and Sales. Notes export to PDF, DOCX, HTML or Markdown.
  • Key items. Risks, requirements, decisions and more, sorted into six categories.
  • Tasks. Action items with assignee, deadline and context, which push to Salesforce, HubSpot or Asana through native automations, Zapier or MCP.
  • Ask Sembly. AI chat about a single meeting, on every plan including the trial.
  • Semblian 2.0. Chat across several meetings that "will answer your questions and create reports, proposals, or any other professional document." Included from Pro up.
  • Artifacts. Documents built from your meetings, files and a client's brand kit, exported as .pptx or .docx.
  • Follow-up emails. Sent to participants after a meeting by default, with a link to the meeting in Sembly. Only Pro and higher can change that setting, per its follow-up email FAQ.

Sembly can also attend calls without you, even several at once: a feature built for calendars, not rooms.

Sembly pricing and the credit math

Here are the plans as Sembly's pricing page listed them on October 20, 2026. The plan cards show annual-billing prices; the monthly rates come from the page's FAQ.

PlanMonthly billingBilled annually (per month)UsersCredits per user a month
Free Trial$0$01750 (plus a one-time 1,750 bonus)
Basic$17$1012,500
Pro$29 per user$20 per user1 to 403,000
MAX$39 per user$30 per user3 minimum3,500
EnterpriseCustomCustom10 minimum3,500

Meeting hours are unlimited on paid plans; the trial "covers 1 meeting hour." Video capture starts on Pro.

What a credit buys

Credits are the part most Sembly reviews skip. According to Sembly's FAQ on unlimited credits, credits pay for uploading recorded files and for creating artifacts and brandings. No plan has unlimited credits, and you can buy more only on a paid plan.

Sembly's free trial article converts credits to upload time: 750 credits equal 375 minutes, and 2,500 credits equal 1,250 minutes. That's 2 credits per minute of uploaded audio. At the same rate:

PlanCredits a monthUpload time if you spend every credit on uploads
Free Trial750375 minutes (6 hours 15 minutes)
Basic2,5001,250 minutes (about 20.8 hours)
Pro3,0001,500 minutes (25 hours)
MAX3,5001,750 minutes (about 29.2 hours)

A worked example. Say Priya records two in-person client workshops a week on a separate recorder, each 90 minutes, and uploads them. That's 8 uploads a month × 90 minutes = 720 minutes, or 1,440 credits. On Basic she has 2,500 credits, which leaves 1,060 for anything else. On Pro, the same uploads leave 1,560 credits for artifacts and branding. Calls the Sembly Agent records don't draw on credits: those hours are unlimited on paid plans.

If your meetings are on video calls, credits barely matter. If you upload recordings, budget credits like minutes.

Languages, privacy and how long meetings stay

Languages: three numbers, one answer

Sembly's pages give three different language counts, so here's how they fit together.

  • The pricing page says "45+" on every plan.
  • The meetings product page says "48 languages."
  • The help center's language list, updated October 13, 2026, has 50 entries. Five are versions of English (US, UK, Australia, India and Finance), two are Spanish and two are Portuguese. Merge those and you get 44 distinct languages.

The bigger limit is how many you can use at once. Each workspace "can select two languages at a time," and you can change them per meeting. Audio in other languages "might be transcribed inaccurately," and the notes follow whichever language was spoken most. The interface itself is English only, per the language settings article.

Two slots suit a bilingual team. Diego's Monday might include English, Spanish and a Vietnamese-speaking contractor, so he'd need to test first.

Privacy and consent

Sembly runs on Microsoft Azure, encrypts data and states SOC 2 Type 2 and GDPR compliance, per its article on where data is stored. It says it does not train AI models on customer data.

On consent, Sembly answers "Can Sembly record meetings without others knowing?" with a no: the agent appears as a visible participant. For offline conversations, Sembly "strongly recommend[s] informing all participants beforehand." That's good advice for any recorder. US states differ on whether one person's consent is enough, which our guide to one-party consent states explains.

How long your meetings stay

One thing to know before you pick a plan: Sembly's meetings don't stay forever on the lower tiers. Its history FAQ lists text and audio history of 4 months on the trial, 1 year on Basic, 2 years on Pro and unlimited on MAX and Enterprise. "Once the retention period ends, meeting data is permanently deleted and cannot be recovered." The pricing page lists 2 months for the trial, so check the figure that applies to you and export what you need to keep.

Who Sembly suits, and who it doesn't

Sembly is a strong fit for:

  • Consultants and agencies who turn client calls into proposals, SOWs and status reports. Artifacts and brand kits are the reason to choose it.
  • Account teams on video calls that want tasks pushed to Salesforce, HubSpot or Asana, plus search across months of meetings.

It's a weaker fit for:

  • Field reps and anyone who meets in person most days. Room recordings go through a separate app or browser recorder, and nobody outside your workspace gets a name in the transcript.
  • People who need many languages. Two at a time works for bilingual teams, not multilingual territories.
  • Anyone who wants a lasting free plan. The trial covers one meeting hour.

Diego has his answer. Priya's is probably yes.

ParrotNotes Free costs $0 and gives you 100 minutes of recording a month, an AI summary on every recording, 5 AI-powered recordings a month (with action items, chat about the recording and BANT, MEDDIC and SPIN frameworks) and unlimited written notes. Pro is $19.99 a month, or $14.99 a month billed annually, with 3,000 minutes a month, recordings up to 3 hours, every AI feature, speaker identification, multilingual transcription with translation, AI search across your notes and MCP connectors.

Diego's Tuesday on it: the contractor meeting recorded on the phone he sets on the counter, with everyone's OK; the Spanish conversation translated into an English transcript he can forward to his sales manager; and the summary, with the three part numbers and the delivery date, waiting before he reaches the next job site. For more on meetings that cross languages, see our guide to bilingual meeting notes.

The bottom line on Sembly AI

Sembly AI in 2026 is a capable meeting assistant inside a bigger product: a deliverable studio for consultants and agencies. Its strengths are real: an agent for four video platforms, deep notes, CRM automations and artifacts that turn a discovery call into a branded deck. Its own pages are just as clear about the lines: room recordings through a separate app, names that need Voice ID, two languages at a time, credits for uploads and a one-hour trial.

If your team turns video calls into client decks, like Priya's, Sembly is worth a look. For most field and in-person teams, like Diego's, ParrotNotes is the better pick: no bot, a native app on the phone you already carry, 99+ languages with translation, and an AI summary of every recording on a free plan that renews every month. Download ParrotNotes free and record your next meeting across the table.
