Trip Report Template

Write a business trip report: purpose, people met, outcomes, follow-ups and costs, laid out for your manager, then print, save as PDF or copy it. Pick sales trip, conference or trade show, or site visit, add one row per meeting, and the report builds itself in the preview below.

What goes in a trip report

  • Trip details

Who traveled, their role, who the report is for, where they went and the first and last day. The template counts the days for you.

  • Purpose

One or two sentences on why the trip happened: the deal to close, the show to work, the line to sign off. Every other section is read against it.

  • Meetings

One row per meeting: who, which company, what was said and the outcome. On a conference trip this is the people you met and the sessions worth reporting.

  • Key outcomes

What changed because you went: an order agreed, a problem found, a competitor move spotted. Three to five lines your manager can repeat upward.

  • Follow-ups

Each next step with an owner and a due date, so the trip turns into work someone is doing on Monday.

  • Expenses and recommendations

An optional summary of what the trip cost, added up for you, and what you would do next time or next quarter.

How to write a trip report

Pick the type of trip. A sales trip starts with customer meetings, key outcomes and expense lines for airfare, hotel, rental car and meals. A conference or trade show trip lists people met and sessions attended, key takeaways and a registration line. A site visit, such as a plant, a customer's line or a job site, asks for meetings on site and findings. Every heading and line can be changed.

Fill in the meetings first, while you still remember who said what. Notes are what you heard; the outcome is one line on what was agreed or decided. Then pull the three to five things that matter most into key outcomes, and turn every promise you made into a follow-up with a name and a date.

Worked example: a two-day sales trip to Denver. Purpose: renew the Fairview Clinic contract and meet two prospects. Three meetings, each with an outcome (verbal yes on a two-year renewal, a demo booked, a no for this year). Two key outcomes, four follow-ups with owners and dates, and an expense summary of $412.80 airfare plus $1,035.00 hotel, which the template totals as $1,447.80. Copy as email sends it with the destination and dates in the subject line; Print saves it as a PDF.

Claiming the money back? The receipts and totals go on the expense report template; this trip report only summarizes the costs for the reader.

Drove your own car? Log the business miles in the mileage log template.

Trip report, call report, expense report, end of day report

Trip report
One trip, start to finish: why you went, everyone you met, what came of it, who does what next and roughly what it cost. This template.
Sales call report
One customer visit in detail. A trip report holds several of them, one line of notes and an outcome each.
Expense report
The claim to get paid back, with receipts, dates and the amounts your company's policy allows. The trip report's cost summary is for context, not reimbursement.
End of day report
One working day for your manager. On a long trip some teams want both: a short daily note and one trip report at the end.

Tips for a trip report your manager reads

  • Lead with the outcome

"Fairview agreed a two-year renewal" belongs in the first lines, not at the bottom of the third meeting. Put the result before the story.

  • Every promise is a follow-up

If you told a customer you would send a quote by Friday, that is a follow-up with your name and Friday's date. Unowned next steps get lost.

  • Write it before you unpack

Details fade by the next morning. Fill in the meetings at the airport or on the drive home, and finish the rest the next day.

  • Say what you would change

Recommendations are the part only the traveler can write: visit again in March, book a bigger booth, send an engineer next time.

For reps who report from the road: the sales call report template, trade show follow-up emails, how to take notes while driving.

Record each meeting's notes as you leave.

You typed this report after the trip. With ParrotNotes, you record a voice note in the car after each meeting and the app transcribes it and writes a summary, so the meeting rows are mostly done before you get home. Free for 100 minutes of recording a month.
