End of Day Report Template

Fill in an end of day report: what you got done, calls and visits, numbers, problems and tomorrow's plan, then copy it into an email or Slack or save it as a PDF. Pick field sales rep, service technician or office and remote employee, and the headings and counts follow. An EOD report takes five minutes and the report lays itself out as you type.

What goes in an end of day report

  • Date, name and who it is for

Today's date (the template fills it in), your name, your role or territory and who reads it, usually your manager or the office.

  • What you got done

Short lines on what was finished today: an order signed, a job completed, a draft sent. Finished things first, then progress on bigger ones.

  • Calls, visits and meetings

The counts you are measured on: visits, calls and meetings for a rep, jobs and service calls for a tech, meetings and tickets for office work. Empty counts stay out.

  • Numbers

Optional figures: deals closed, quotes sent and their value, revenue, billable hours. Type them as you would in an email; the template does not add anything up.

  • Problems and blockers

What went wrong or is stuck, and what you need: a part on back order, a price approval, an angry customer to call back. This is the line your manager acts on.

  • Plan for tomorrow

The first things you will do tomorrow, in order. Tomorrow, "Start tomorrow's report" turns this list into the first lines of "done".

How to write an end of day report in five minutes

Choose your role. The field sales preset counts customer visits, calls, meetings and new contacts, with deals, quotes and revenue as optional numbers; the service technician preset counts jobs, service calls and return visits, with quotes and billable hours; the office preset counts meetings, calls and emails or tickets. Rename, add or remove counts to match what your manager asks for.

Write it before you leave the last stop or close the laptop, while the day is fresh. Fill in the counts first, then what got done, then problems, then the plan for tomorrow. One line per item, no adjectives: the reader should get your day in thirty seconds.

Copy for Slack gives bold headings and bullets that paste cleanly into a channel or a direct message; Copy as email adds a subject line with your name and the date; Print saves a one-page PDF. The next morning or that evening, "Start tomorrow's report" keeps your name, role and count names and moves the date to the next working day.

End of day report, weekly report, service report, call log

End of day report
One person's day for their manager or the office: done, counts, numbers, problems and tomorrow's plan. This template.
Weekly report
The same person's whole week, with numbers against target, wins and next week's priorities. Many teams ask for both: a short daily note and a weekly summary.
Service report
One job for one customer: the work done, parts, time on site and a signature. It goes to the customer; the end of day report goes to your manager.
Call log
Every call on one list as it happens, with outcomes and next steps. Its totals feed the counts in your end of day report.

Tips for an end of day report your manager reads

  • Counts before stories

"6 visits, 14 calls, 2 quotes" says more than "busy day on the road". If a count is low, give the reason in one line under problems.

  • Same time, same shape

Send it at the same time every day, in the same format, so your manager can scan a week of them in a minute.

  • Every problem gets an ask

"Compressor back-ordered, need approval to source it from the other supplier" can be fixed tonight. "Parts issue" cannot.

  • Say it while it is fresh

By the next morning half the details are gone. Talk the day through on the way home and fill in the report from what you said.
