How to calculate the time between two times
Subtract the start time from the end time, hours from hours and minutes from minutes. If the end minutes are smaller, borrow 60 minutes from the hours. From 9:40 AM to 4:15 PM: 16:15 becomes 15:75, and 15:75 − 9:40 = 6:35, so 6 hours 35 minutes, 6.58 decimal hours or 395 minutes.
Times in 12-hour form are easiest to subtract after you turn them into 24-hour form: add 12 to every PM hour except 12 PM. The calculator accepts 4:15 PM, 415p, 16:15 and 1615, and the switch above the fields picks how times are shown back.
Across midnight
When the end is earlier on the clock than the start, the span runs into the next day. Add 24 hours to the end before you subtract: 10:00 PM to 6:30 AM is 30:30 − 22:00 = 8 hours 30 minutes. The calculator does that on its own and says so under the result.
For spans longer than a day, or a night that also crosses a daylight saving change, use Between two dates and pick both dates.
Dates, days and clock changes
Between two dates counts real elapsed time in your device's time zone. From Monday 8:00 AM to Thursday 5:30 PM is 3 days, 9 hours and 30 minutes, or 81.5 hours.
In the United States the clocks go forward at 2 a.m. on the second Sunday in March and back at 2 a.m. on the first Sunday in November, unless your state stays on standard time all year. A span across the March change is an hour shorter than the calendar suggests, and one across November is an hour longer. The result says when that happened.
Hours and minutes or decimal hours
6:35 and 6.35 are not the same thing. 6:35 is 6 hours and 35 minutes; as a decimal it is 6.58 hours, because 35 minutes is 35 ÷ 60 = 0.58 of an hour. Timesheets, invoices and mileage logs usually want decimal hours, so every result shows both.
Common ones: 15 minutes is 0.25, 20 minutes 0.33, 30 minutes 0.5, 40 minutes 0.67 and 45 minutes 0.75.
For field visits, drives and shifts
Field reps use it to log how long a customer visit or a drive between accounts took, then add up the day's visits in the Add up durations mode. Nurses and shift leads use it to time a shift that runs past midnight, an orientation day or a training block. For a full week of hours with breaks and pay, the time card calculator is the better fit.
