Free AI Follow-Up Email Generator
Paste your notes from a sales call, demo, site visit or meeting and get a follow-up email with a recap, the next steps and one clear ask, ready to edit and send. Free with a ParrotNotes account.
Your notes are sent to ParrotNotes' server to write the email and are not stored there; only a count of characters is kept for your monthly allowance.
How it works
From rough notes to an email you can send before the next meeting.
- 1
Paste your notes
Pick what the conversation was, paste what was discussed (bullets are fine, up to 8,000 characters) and add the names and the one thing you want them to do next.
- 2
Sign in and write
Sign in with Google, Apple or an email code (it creates a free ParrotNotes account) and press Write email. It takes about 10 to 20 seconds.
- 3
Edit and send
Pick a subject line, edit the email on the page, fill in any [placeholders], then copy it or open it in your email app.
What you get
An email built only from what you typed, plus what to do after you send it.
A subject line, and two more
A specific subject line about this conversation, with two alternatives you can switch to in one click.
The email
A greeting, a short recap, what matters to them, the next steps and one clear ask, signed with your name.
Placeholders, not guesses
When the email needs a date, a price or a document your notes do not give, you get [date] or [price] to fill in, never a made-up number.
Next steps with owners
The steps from your notes, with who does what and by when. Anything your notes leave open says Not stated.
When to follow up again
One line on when to nudge if there is no reply, so the thread does not go quiet.
Copy or open in your email app
Copy the email, copy everything as Markdown for your notes, or open a new email with the subject and body filled in.
What makes a good follow-up email
Four things the generator is told to do, and the things to check before you press send.
Recap
One or two sentences on what you discussed, in their words where you can. It shows you listened and gives them something to forward to whoever was not on the call.
Value
Say what the next step gets them, not what it gets you: the problem it solves or the outcome they said they wanted. Leave out anything they did not bring up.
One ask
End with a single, specific request they can say yes to: a time for the next call, a document, a decision, a name. Two or three asks usually get none.
Timing
Send it the same day, while the details are fresh and the conversation is still on their mind. If there is no reply, a short nudge a few working days later keeps it moving.
Examples of an ask, by conversation
The ask is the line that gets the reply. Put yours in the form, or borrow one of these.
After a sales call
Can we book 20 minutes on [date] to go through the proposal?
After a discovery call
Could you share the current process so I can put together a first proposal?
After a demo
Would you like a trial account for your team, so they can try it before your review?
After a site visit
Can you confirm the measurements so I can send the quote by [date]?
After a meeting
Please reply with any changes to the action items by [date].
After networking
Would a 15-minute call next week be useful to compare notes?
Write it from the real call next time
You typed your notes from memory. ParrotNotes records the call and drafts the follow-up email from what was actually said, before you leave the parking lot.
