What a business proposal includes

  • Cover

    The title, who it is prepared for and by, the date and how long it is valid. Add your logo so it matches your other paperwork.

  • Executive summary

    Four or five sentences a busy approver can read alone: the goals, your recommendation, the price, the timeline and the next step.

  • Their situation and goals

    The problem in the client's own words, then the outcomes they want. Buyers trust a proposal that sounds like the call they were on.

  • Solution and scope

    What you recommend, what is included and what is not. The "not included" list prevents most arguments later.

  • Timeline and price

    Milestones with dates or weeks, then each price line, with one-time, monthly and yearly amounts totalled separately.

  • Terms, next steps, signatures

    Payment terms and validity, the concrete next step, and a signature block for both sides.

Proposal, quote or RFP response?

Proposal
Makes the case for a solution to a problem the buyer described, with scope, timeline and price. Sent after a discovery call.
Quote
A price for a stated list of items, valid until a date. Sent when the buyer already knows what they want.
RFP response
A proposal written to the buyer's request for proposal, in their format, answering their questions in their order.

How to write the proposal after a discovery call

  • Use their words

    Open the situation section with what the buyer said, close to verbatim. It shows you listened and it is the part they read most carefully.

  • Three goals at most

    Pick the outcomes the buyer repeated or tied to money or time. A long list of goals reads like a brochure.

  • Recommend one option

    Lead with the option you would choose in their place. If you show alternatives, keep them short and say why you recommend the first.

  • End with a dated next step

    "Sign by Friday so we can hold the install slot on the 3rd" moves a deal. "Let us know" does not.
