Priya runs operations for a software company that lives on Zoom. Her Tuesday stand-up ends, and two minutes later a recap is in her inbox, so nobody has to type minutes.
Marco sells commercial refrigeration. His Tuesday is a supermarket plant room at 8, a distributor's counter at 11, and three customer calls from the truck. Zoom is open on his laptop twice a week. (Both are composites, not real people.)
The Zoom AI Companion meeting summary is a clear win for Priya. For Marco, it covers two meetings out of twenty.
This guide shows how Zoom's meeting summary works: how to turn it on, which plans include it, who receives it, which languages it handles, and where it stops. It's built from Zoom's support articles, pricing page and product pages as they read on October 26, 2026. It isn't a hands-on test, and every claim links to the Zoom page it came from.
One disclosure: ParrotNotes publishes this blog, and it's our app. It shows up once, near the end, for readers like Marco whose meetings happen across a table, not in a Zoom window. If that's you, try ParrotNotes free and come back for the Zoom facts.
Zoom AI Companion meeting summary in short
It suits you if your meetings run on Zoom, you host them on a paid Zoom Workplace plan, the people who need the recap are signed in to Zoom, and the meeting is in one of 33 supported languages.
Look elsewhere if most of your conversations happen in person or on regular phone calls, you join other people's Zoom meetings as a guest, or your calls switch between languages.
First, the name: "AI Companion" is retired
If you search Zoom's help center for "AI Companion" today, the articles read differently. Zoom's call summary article says: "As of June 22, 2026, the name "AI Companion" has been retired." The features stay inside Zoom Workplace. The settings tab is now called Zoom AI, and the product page markets the paid AI tier as ZoomMate.
So most people still search for the old name. Here's how it maps:
| What you search for | What Zoom's settings and help center call it now | Where it lives |
|---|---|---|
| AI Companion | Zoom AI (settings); ZoomMate (product page) | Admin Center > Settings > Zoom AI |
| AI Companion meeting summary | Meeting Summary with AI | Zoom AI tab, under Meetings |
| AI Companion button in the meeting | The Zoom AI icon (top right); participants see "the diamond change color" | In-meeting window |
| Turn on AI Companion | Allow Zoom AI on this account (the universal toggle) | Admin Center > Settings > Zoom AI |
| AI Companion notes | My Notes (your private notes, including in-person) | My Notes tab in the Zoom Workplace app |
| Custom AI Companion (custom summary templates) | A ZoomMate license | Meeting summary templates settings |
Built from Zoom support articles KB0074867, KB0058013, KB0076668, KB0080359 and the ZoomMate page, read October 26, 2026.
The rest of this guide uses Zoom's current labels, with the old name where it helps you find the setting.
How the Zoom meeting summary works in a meeting
Meeting Summary uses "AI technology, which may include third-party models" to write a summary from what's said, according to Zoom's Using Meeting Summary with AI article. Zoom describes the result as a way to "review the key points of the meeting and the topics that were discussed."
To start it on the desktop app, the host:
- Starts the meeting.
- Hovers over the Zoom AI icon in the top-right corner.
- Ticks Meeting summary, and Generate transcript if they want a transcript too.
- Clicks Start Zoom AI.
Hosts on versions below 6.7.5 find the same controls in the meeting toolbar. Only the host and co-hosts can start or stop it. Stopping it early still gives a summary of the part that was covered.
You don't have to click anything each time. The summary can auto-start when the meeting starts, even if the host isn't there yet.
A participant can't turn it on alone. They can select Ask host to start Zoom AI. If nobody in the meeting has permission, the request goes to the account admins by email. On Pro the change applies at once; on Business and higher it applies from the next meeting.
How to turn on Zoom AI Companion meeting summary
If the Zoom AI icon is missing or greyed out, the setting is off higher up. There are three levels.
- Account (admins): Admin Center > Settings > Zoom AI. Turn on Allow Zoom AI on this account, then turn on Meeting Summary with AI under Meetings (universal toggle article). Admins can lock it on or off for everyone.
- Group (admins): Users > Groups > pick the group > Edit product settings > Zoom AI tab. If an option is greyed out here, it "has been locked at the account level."
- You: Profile > Settings > Zoom AI tab, unless your admin locked it.
Those menu paths come from Zoom's third-party meetings article, which uses the same three levels.
Which plans include the meeting summary
Zoom's pages don't quite agree here, so both are shown.
| Plan (US prices, per user) | Meeting summaries | Source |
|---|---|---|
| Basic (free) | For 3 hosted meetings a month; meetings capped at 40 minutes | zoom.us/pricing |
| Pro: $16.99 a month, or $14.16 a month billed annually | Unlimited | zoom.us/pricing |
| Business: $21.99 a month, or $18.33 a month billed annually | Unlimited | zoom.us/pricing |
| Enterprise | Unlimited (price on request) | zoom.us/pricing |
| Basic users on a paid account | None: "AI features are not applicable to users with Basic permissions on paid accounts" | zoom.us/pricing |
Checked October 26, 2026. Prices change; re-check before you buy.
The pricing page gives free Basic accounts three summarized meetings a month. The help article's prerequisites still list only licensed users on Pro, Pro Plus, Business, Business Plus, Enterprise, Enterprise Plus or the Enterprise Bundle. If you're on Basic and the option doesn't appear, that gap is the likely reason.
So, is the Zoom AI meeting summary free? On a paid plan it's part of the license, with no extra add-on needed. On a free account, you get three hosted meetings a month.
Who receives the summary, and where to find it
This is where most "I never got it" questions start. Per Zoom's summary article:
- The summary arrives by email, and in the meeting's group chat if chat is turned on.
- "If the host enables sharing, meeting participants can access the summary through email and Zoom Chat." The host decides.
- Participants must be signed in to Zoom to get it automatically. Unauthenticated users get no email, because no address is attached to them.
- People who joined ad hoc, through an in-meeting invite or a shared link, don't receive it.
- The account owner can access every summary.
Afterwards, the host finds it on the Summaries page of the Zoom web portal and in Zoom Hub. Only the host can edit or delete it. Someone without AI features can still read a summary shared with them under Shared with me.
Picture Marco joining a distributor's Zoom from his phone, through the link in a text message, without signing in. The distributor's host has a summary. Marco doesn't, and the pricing they agreed on lives only in his memory.
Why didn't my Zoom meeting summary arrive? A seven-point checklist
Run these in order. Each line comes from Zoom's own pages.
- Is the host on an eligible plan? Basic gets three hosted meetings a month; Basic users on a paid account get none (pricing).
- Is Meeting Summary on, and not locked off? Check the account, then the group, then your own Zoom AI tab (KB0076668).
- Did someone actually start it? Without auto-start, only the host or a co-host can start it in the meeting (KB0058013).
- Did the host share it? Participants receive it only "if the host enables sharing."
- Were you signed in? Unauthenticated users get no email.
- Did you join ad hoc? People who joined through an in-meeting invite or a shared link don't receive it.
- Was the talk in a breakout room? "Meeting Summary is not available within breakout rooms."
If all seven pass, ask the host to look on the Summaries page and share it with you from there.
Languages and data
Zoom's supported languages article lists 33 languages for meeting summaries, including English, Spanish, French, German, Portuguese, Hindi, Arabic, Japanese, Korean, both scripts of Chinese, Tagalog, Tamil and Vietnamese.
When people speak more than one language, the summary comes out in the majority language. If there's no clear majority, it uses the host's speaking language. Zoom suggests setting the caption language correctly for meetings that aren't in English. A call that's half English and half Spanish gets one summary, in one language.
On data, Zoom's Terms of Service (section 10.2) say: "Zoom does not use any of your audio, video, chat, screen sharing, attachments or other communications-like Customer Content" to train Zoom's or third-party AI models. The summary article also notes that the account owner can access summaries, which matters if you discuss anything personal on a work account.
Want a format for writing up meetings by hand when no AI is running? Our meeting summary template fits on five lines.
Where the Zoom AI Companion meeting summary stops
Meeting Summary is built for Zoom meetings. Three kinds of conversation sit outside it.
Teams and Google Meet calls
Zoom AI can join Microsoft Teams and Google Meet calls "as a participant, generating transcripts, and providing meeting summaries," per its third-party meetings article. That means a visible participant in someone else's call, plus a calendar sync. If those calls are your main ones, compare the built-in tools first: our guides to Copilot meeting notes and Gemini meeting notes cover them. Our explainer on AI meeting notes without a bot covers the options with nobody joining.
In-person meetings
Meeting Summary needs a Zoom meeting to run in. A conversation across a table, with no Zoom meeting open, sits outside it. Zoom's answer is My Notes, which can transcribe an in-person meeting from the desktop app (6.7.5 or later) or the mobile app (7.0.3 or later), per its My Notes article.
Zoom's May 2026 announcement says mobile "currently supports recording for in-person conversations only," that it's included with paid Workplace plans, and that it's also sold standalone at $10 per user per month. The notes are yours and aren't shared automatically. Zoom's October 20 Zoomtopia post says a standalone My Notes mobile app, which records in-person meetings without the Zoom Workplace app, is expected in December 2026.
So in-person is now possible inside Zoom, as a separate feature with its own setup and settings.
Phone calls
A regular phone call is covered only through Zoom Phone. Its call summary needs a Zoom Workplace license that includes Phone, or a standalone Zoom Phone plan, and an admin has to turn it on (KB0074867). A call made from your personal mobile number, outside Zoom Phone, isn't covered.
That's Marco's week: two Zoom calls, a dozen visits and a handful of calls from his own mobile.
Where ParrotNotes fits
If your week looks like Priya's, keep Zoom's summary. It's already in your license, and it lands where your team works. If it looks like Marco's, here's the app we build, with facts from parrotnotes.app/pricing on October 26, 2026.
ParrotNotes doesn't join or transcribe Zoom calls. It records the room. Open the app on your phone, tap record, set it on the table with everyone's OK, and when you stop you get a transcript, an AI summary, action items and a drafted follow-up email.
Recording works offline; transcription and AI need a connection. No bot, no host settings, no admin console.
| Zoom Meeting Summary | ParrotNotes | |
|---|---|---|
| Zoom meetings | Built in; host starts it or it auto-starts | Doesn't join or transcribe Zoom |
| In-person meetings | Separate feature (My Notes) | Tap record on iPhone or Android |
| Who controls it | Host and admin settings | You, on your own phone |
| Who gets the summary | Signed-in participants, if the host shares | You, and anyone you send it to |
| Mixed-language talk | One summary in the majority language | Code-switching across 99+ languages, with translation (Pro) |
| Free plan | Summaries for 3 hosted meetings a month | 100 minutes a month, an AI summary on every recording |
Zoom facts from support.zoom.com and zoom.us/pricing; ParrotNotes facts from parrotnotes.app/pricing. Both checked October 26, 2026.
ParrotNotes Free is $0, with 100 minutes a month, recordings up to 30 minutes, an AI summary on every recording and 5 AI-powered recordings a month. Pro is $19.99 a month, or $14.99 a month billed annually, with 3,000 minutes, recordings up to 3 hours, unlimited AI-powered recordings and speaker identification.
Marco's Tuesday on it: the plant-room walk-through recorded on the phone in his shirt pocket, the summary and the compressor model numbers read in the truck, and the follow-up email drafted before he reaches the distributor. After each customer call from the truck, he dictates a one-minute recap of what was agreed, and it lands as a note with action items. He keeps Zoom's summary for the two video calls.
Whichever tool you use, ask before you record. US federal law (18 U.S.C. § 2511(2)(d)) allows recording when you're "a party to the communication", but some states require every party's consent.
Our guide to one-party consent states has the detail. This isn't legal advice.
Most of your meetings aren't on Zoom? Download ParrotNotes free, record your next in-person meeting with everyone's OK, and read the summary before you start the car.
The verdict
The Zoom AI Companion meeting summary, now Meeting Summary with AI, does one job well: it turns a Zoom meeting into a recap that lands in the inbox of everyone the host shares it with, with no extra tool. On a paid plan it costs nothing more. The limits are in Zoom's own pages: host and admin settings, signed-in recipients only, no breakout rooms, one language per summary, and separate features for in-person meetings and phone calls.
Use the checklist the next time a summary goes missing. And if your best conversations happen in a plant room or a parking lot, download ParrotNotes free. You get 100 minutes a month with an AI summary on every recording, on the phone you already carry.
Frequently Asked Questions
How do I get a Zoom AI summary after a meeting?
If Meeting Summary ran, the summary arrives by email and in the meeting chat for signed-in participants the host shared it with. The host also finds it on the Summaries page of the Zoom web portal and can share it from there. Zoom can't summarize a meeting where it wasn't started.
Is Zoom AI Companion meeting summary free?
It's included in paid Zoom Workplace plans such as Pro and Business, with unlimited summaries. On October 26, 2026, Zoom's pricing page gave free Basic accounts meeting summaries for 3 hosted meetings a month. Basic users on a paid account don't get AI features.
Why can't I see the meeting summary option in Zoom?
Usually it's off or locked at the account or group level, you're not the host or co-host, or you're on a Basic seat. Check Admin Center > Settings > Zoom AI, then the group's Zoom AI tab, then your own profile settings.
Is AI Companion still the name?
No. Zoom's help center says the name "AI Companion" was retired on June 22, 2026. The features remain in Zoom Workplace: the settings tab is called Zoom AI, the feature is Meeting Summary with AI, and the paid AI tier is marketed as ZoomMate.
What languages does Zoom's meeting summary support?
Zoom lists 33 languages, including English, Spanish, French, German, Portuguese, Hindi, Japanese and Arabic. When several languages are spoken, the summary uses the majority language, or the host's speaking language if there's no clear majority.
Does Zoom's meeting summary work for in-person meetings?
Meeting Summary is for Zoom meetings. For an in-person meeting, Zoom points to My Notes, which can transcribe in-person meetings from the desktop and mobile apps on paid plans. ParrotNotes records in-person meetings on your phone with an AI summary on every recording.
