Why use a sign-in sheet

  • You know who was in the home

    Strangers walk through a seller's home. A sign-in sheet at the door means every visitor gives a name, and the seller knows you kept track of who came in.

  • Your follow-up list

    Every row is a person who cared enough to walk through. Names, emails and phone numbers turn a busy Sunday into a list of calls for Monday.

  • Feedback for the seller

    How many came, how they heard about it, how many were ready to buy: the sheet is the raw material for your update to the seller.

What to ask

Name, email, phone
The minimum for a follow-up. Put them first so they get filled in even when people skip the rest.
Working with an agent? Agent's name
Tells you who you can offer to represent and who to follow up through their agent.
Pre-approved? Timeframe to buy
Separates buyers who could make an offer this month from neighbors and early browsers, so you call the right people first.
How did you hear about it?
Shows which listing sites, signs and posts brought people in, for your marketing and your report to the seller.
May we contact you?
A yes or no to circle records permission, next to the footer line that says what signing in means.

Ask only what you need to follow up, and follow your brokerage's and your state's rules on consent and contact.

Follow up within a day

The best time to follow up is the same evening or the next morning, while the visit is fresh. Thank them for coming, mention something from your conversation at the door (the kitchen they liked, the school question they asked), answer anything you promised to find out, and offer the next step: a private showing, similar listings, or a call about financing. A short personal note beats a generic newsletter.
